We are seeking a detail-oriented, energetic graduate student to support the summer Upward Bound program at Brandeis! Upward Bound is a federally-funded early outreach college preparatory program designed to increase college attendance among low-income and first-generation college-bound high school students. The grant serves 60 first-generation and low-income students from Waltham High School in order to increase their grades, retention rates, graduation rates, knowledge of the college application process, and college enrollment.
This position is a member of the Upward Bound team which includes instructors, professional staff, and student tutor-counselors. The Upward Bound Summer Operations Manager Graduate Assistant will be responsible for performing a variety of administrative tasks that support the daily functions of the program in the following four areas: Administration, budget management, transportation, and operations
Compensation: $25 per hour
Specific responsibilities include:
Develop and coordinate administrative support for Upward Bound, such as room reservations, attendance tracking, summer expenses tracking.
Ensure program compliance with federal TRIO program guidelines.
Closely track and analyze the summer program budget, logging and reconciling all receipts for expenditures, and benchmarking against allotted funds for all aspects of the program. Review and confirm accuracy of invoices for approval of payment.
Maintain inventory of office supplies and equipment; organize supplies for storage and/or distribution.
Oversee and manage student transportation to and from campus on program days; serve as liaison with the bus company and ensure safe transport for students.
With the help of the Program Director, communicate policies and procedures to all applicants and families.
Collect and organize all required participant documents, including permission slips, agreement forms, and academic information.
Prepare and process various purchasing forms to include, but not limited to, Purchase Requisition, Reimbursement, and Payment Request forms; reviews and confirms accuracy of invoices for approval of payment.
Ensure confidentiality of all program and staff records and other sensitive information.
Supervise the bus schedule and serve as a chaperone in the Bus.
Preferred Qualifications:
Continuing Brandeis graduate student
Experience managing budgets and operations for organizations or programs.
Fluency in using standard MS Office software suites with proficient to advanced knowledge of Excel.
Spanish language proficiency desired.
Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
