Your main tasks and responsibilities include:
- Support quotation processes with customers and follow up on RFQs to ensure timely responses and improve customer satisfaction.
- Collaborate with internal teams to update and adjust quotations according to customer requirements, cost changes, item modifications, or cancellations.
- Process customer orders, including the creation of Order Acknowledgments (OA).
- Review and update backlog related to sales orders.
- Support Accounts Receivable (AR) follow-up activities by sending payment reminder emails to customers in collaboration with MSMs.
- Develop and maintain reports and dashboards using Power BI.
- Stamping and management of invoices in Mexico, including:
- Create, review, and stamp electronic invoices (CFDI) in the company’s systems when required.
- Create and stamp credit notes, ensuring consistency with internal documentation.
- Coordinate with internal departments such as sales, service, logistics, and finance.
- Maintain accurate records in ERP and technical systems.
- Provide general administrative support related to spare parts and technical activities.
What you'll need:
- Bachelor’s degree or equivalent experience in Business Administration, International Trade, Logistics, Engineering, or related fields.
- At least 5 years of relevant experience.
- Experience in industrial equipment and/or paper manufacturing machinery (preferred).
- Knowledge of Power BI for reporting and data analysis (preferred).
- Knowledge of electronic invoicing CFDI 4.0 and basic fiscal processes in Mexico (preferred).
- Strong analytical, organizational, and problem-solving skills.
- PC proficiency and ability to manage multiple technical and administrative systems.
- Fluent in English; Portuguese is a plus.
