This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Finance Specialist / Manager based in the United States.
This role is responsible for owning and supporting end-to-end finance operations within a fast-scaling, globally distributed organization.
You will manage core accounting processes, financial reporting, and operational workflows across multiple tools and systems, ensuring accuracy and compliance.
The position offers the opportunity to work with a modern, partially automated finance stack while helping refine and scale financial processes.
You will collaborate closely with operations and finance leadership to manage budgets, grants, reporting cycles, and external accounting partners.
The role spans both hands-on execution and strategic oversight, depending on level, with increasing ownership over audits and system improvements.
This is a fully remote position requiring strong attention to detail, autonomy, and comfort working in complex, multi-entity environments.
You will play a key role in ensuring financial integrity, operational efficiency, and scalable finance infrastructure.
Accountabilities:
- Manage day-to-day finance operations, including payment processing, reimbursements, invoices, vendor onboarding, and contractor payments.
- Maintain accurate bookkeeping records in QuickBooks Online, ensuring timely entries, reconciliations, and month-end close activities.
- Oversee expense management systems, credit card usage, compliance tracking, and proper coding of organizational expenses.
- Support budgeting processes across teams, grants, stipends, restricted funds, and other financial allocations.
- Produce financial reporting, management accounts, and supporting documentation for audits, tax filings, and external reporting requirements.
- Coordinate with external accountants and support preparation of financial statements, Form 990s, and related compliance materials.
- Maintain and improve financial systems, SOPs, and automation tools to increase efficiency and accuracy.
Requirements:
- 2+ years of experience in finance operations, accounting, or bookkeeping in complex, multi-entity, or nonprofit environments.
- Strong working knowledge of GAAP principles, restricted funds, and nonprofit or startup financial structures.
- Hands-on experience with QuickBooks Online and strong proficiency in Excel or Google Sheets.
- Experience managing financial workflows such as payments, reconciliations, invoicing, and reporting cycles.
- Strong attention to detail with the ability to manage ambiguity and operate independently.
- Familiarity with financial process automation tools and a strong interest in improving operational efficiency.
- Excellent organizational and analytical skills with strong communication abilities.
- For Manager-level roles: 3+ years of experience with ownership of close cycles, audit coordination, and external vendor management.
