Job Description
The Office of Clinical Services has an outstanding opportunity for a Patient Services Specialist 2 to join their team.
About this Opportunity
Reporting to the Patient Services Specialist Supervisor, the Patient Services Specialist 2 (PSS2) is responsible for performing specialized clerical and technical duties to facilitate the delivery of patient care.
This position is located on the main UW campus in the Magnuson Health Sciences building and is not telework eligible. The work schedule is Monday-Friday from 8:00 AM- 5:00 PM
Key Responsibilities
Patient Interaction (60%):
Provide information about care options available in the Third Year Student Clerkship Clinic, Fourth Year Student General Practice Clinic, Specialty Graduate Clinics and Faculty Practice Clinic.
Schedule new patients with the school, all patients for radiology appointments and for diagnosis and treatment appointments with our predoctoral students.
Obtain necessary information in order to coordinate admission into care at the school, process referrals and, if necessary, triage to Specialty Graduate Clinics and/or Urgent Care.
Inform patients of financial responsibilities, insurance coverage and patient expectations, send correspondence to patients regarding their appointments and becoming a patient of the school.
Coordinate patient care through the pre-registration process, while maintaining the confidentiality of patient and student information.
Handle patient email, telephone and in-person inquiries with a high level of professionalism.
Resolve staff issues that arise daily; identify and resolve problems, review and correct work performed by other staff to meet standards.
Develop and generate patient correspondence to patients about treatment and services for all Clerkships.
Intake patient concerns presented by telephone, email and in-person; resolve customer service concerns and non-clinical issues; notify Patient Relations of all resolved and pending patient issues. Work with Patient Relations Manager to review and resolve concerns in a timely manner.
Interpret School of Dentistry policies, procedures, and services to patients and patients’ representatives.
Financial Responsibility (15%):
Verify eligibility and benefits for third party payors for planned and/or emergency services for predoctoral clinics and other specialties.
Obtain insurance authorizations for predoctoral clinics.
Collect payments and ensure any forms related to payments are obtained and correct.
Advise patients on their insurance coverage and their payment requirements.
Communication and Collaboration (20%):
Train new employees in the clinic and communicate job expectations to staff.
Provide assignments to staff and coordinate employee work schedules to ensure coverage at all times.
Recommend process improvements to existing policies and procedures.
Under general direction, the Patient Services Specialist 2 will regularly assign, instruct and check the work of others, train and orient staff, and provide feedback on employee performance.
Additional Duties (5%):
Process dental records requests for the school and ensure they are completed in accordance with legal and HIPPA regulations
Perform related duties as required
This position performs essential services and may be required to work during any period of declared suspended operation.

High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience.
