About the role

ElevenLabs moves fast - and behind every high-performing leader is someone who makes sure nothing slips. This is a high-trust, hands-on role for someone who thrives in dynamic environments, holds themselves to a high standard, and takes genuine pride in making their lead's life easier - down to the small, considered details that others overlook.

You'll be the operational backbone for senior leadership - managing calendars, coordinating across time zones, handling logistics, and owning the day-to-day administrative tasks that let leadership focus on what matters most.

In this role, you will:

  • Manage complex, fast-moving calendars and provide scheduling and coordination support across multiple time zones and geographies

  • Handle sensitive and confidential matters with discretion, acting as a trusted partner in both professional and operational contexts

  • Coordinate seamlessly with internal stakeholders across teams, as well as external partners and senior leaders

  • Work closely with other EAs across the organisation to align schedules, share context, and keep cross-functional coordination running smoothly

  • Anticipate needs before they arise: managing follow-ups, flagging conflicts, and keeping the right people aligned

  • Build structure, processes, and systems that scale with a fast-growing AI company

  • Identify opportunities to automate and streamline repetitive work, using AI tools and productivity tooling to improve quality and speed

 

Requirements

  • Proven experience supporting senior leaders and their broader teams in a fast-moving environment, including coordinating with other EAs across the organisation

  • Strong organisational skills with the ability to manage competing priorities, shifting timelines, and multiple stakeholders

  • Exceptional written and verbal communication skills, with the ability to communicate effectively with a wide range of stakeholders, from senior executives and partners to vendors and office guests

  • High emotional intelligence and discretion - trusted with sensitive information

  • Comfortable supporting not just an individual but a wider team at times - able to flex between high-priority senior leadership support and broader operational needs as the situation demands

  • Personable and easy to work with - someone who builds genuine relationships across the organisation and is trusted by the people around them

  • A natural reflex to reach for tooling and automation; fluency with AI tools such as Claude or ChatGPT and quick to adopt new systems

  • High personal standards - the kind of person who cares about the quality of their output and holds the bar

  • A valid passport and willingness to travel globally ~40% of the time

Location

This role is remote and can be executed globally. If you prefer, you can work from our offices in London, New York, San Francisco, and Warsaw.
