Position Summary Provides high-level administrative support to senior executives, managing complex calendars, coordinating meetings, handling confidential information, and serving as a key liaison between executives and internal/external stakeholders. Acts as a strategic partner to ensure efficient operations and seamless communication flow.
Key Responsibilities
Administrative Management Manage complex executive calendars, scheduling meetings across multiple time zones and coordinating with various stakeholders. Handle travel arrangements including flights, accommodations, and detailed itineraries. Prepare expense reports and process invoices with attention to accuracy and compliance.
Communication and Correspondence Screen and prioritize phone calls, emails, and correspondence. Draft professional communications on behalf of executives including emails, letters, and presentations. Serve as primary point of contact for internal teams and external clients, maintaining professional relationships.
Meeting and Event Coordination Organize and coordinate executive meetings, including agenda preparation, room booking, catering, and technology setup. Take detailed meeting minutes when required and distribute follow-up action items. Plan and execute special events, client meetings, and corporate functions.
Project Support Assist with special projects and initiatives as assigned, including research, data compilation, and presentation preparation. Track project timelines and deliverables, providing regular updates to executives. Coordinate cross-functional team activities and communications.
Confidential Information Management Handle sensitive and confidential information with the highest level of discretion and professionalism. Maintain organized filing systems both physical and digital. Ensure compliance with company policies regarding information security and data protection.
Qualifications Bachelor's degree preferred or equivalent combination of education and experience. Minimum 5-7 years of executive assistant experience, preferably in professional services or real estate industry. Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Outlook. Experience with SharePoint and other collaboration platforms preferred.
Skills and Competencies Exceptional organizational and time management skills with ability to prioritize multiple tasks effectively. Outstanding written and verbal communication skills with professional phone manner. Strong attention to detail and accuracy in all work products. Ability to work independently with minimal supervision while maintaining team collaboration. Flexibility to adapt to changing priorities and work demands.
Additional Requirements Ability to maintain confidentiality and exercise sound judgment. Professional demeanor with excellent interpersonal skills. Willingness to work flexible hours as business needs require. Travel coordination experience and understanding of corporate travel policies preferred.
