Facilities Coordinator – JLL

What this job involves:

As a Facilities Coordinator, you'll serve as a vital support partner to our Facilities Management team, ensuring seamless daily operations and exceptional service delivery. In this role, you'll be the central point of coordination for facility activities, managing everything from work order administration and vendor coordination to event support and compliance monitoring. Your organizational expertise and customer-focused approach will directly contribute to creating efficient, well-maintained environments that support JLL's commitment to delivering outstanding client experiences. This position offers the opportunity to develop comprehensive facilities management skills while working collaboratively with diverse stakeholders in a dynamic, professional setting.

What your day-to-day will look like:

  • Monitor facility operations continuously and coordinate with facility managers to handle routine management tasks including procurement, work order assignments in CMMS, purchase order issuance, and bid request management
  • Serve as the primary interface with clients, visitors, vendors, and service providers, ensuring professional communication and excellent follow-up on all facility-related inquiries and requests
  • Administer security systems and badging processes for vendors and JLL employees, maintaining compliance with all facility security protocols
  • Coordinate and provide tactical support for special events, meetings, and conference room reservations, ensuring seamless execution with minimal disruption to operations
  • Manage service and construction contracts, track and process asset/equipment inventory and disposal, and handle accounts payable and accounts receivable documentation
  • Schedule and coordinate maintenance activities while maintaining accurate records in CMMS platforms
  • Assist with budgetary analysis, reporting, and variance research to support financial planning and accountability

Required Qualifications:

  • 2+ years of experience in Facility or Property Administration demonstrating practical knowledge of facility operations
  • Associate degree in facilities management, building management, business, or related field; or equivalent work experience
  • Proficiency with CMMS/Automated Work Order systems (Corrigo or similar platforms) for maintenance coordination and tracking
  • Advanced proficiency in Microsoft Office 365, Teams, and Excel with demonstrated ability to create and customize administrative reports and spreadsheets
  • Superior customer service orientation with proven ability to maintain professionalism under pressure and manage multiple priorities simultaneously

Preferred Qualifications:

  • Bachelor's degree in facilities management, business administration, or related field
  • Experience managing vendor relationships and service contracts in a corporate facility environment
  • Familiarity with facility security systems administration and compliance requirements
  • Background in budgetary planning, analysis, and financial reporting for facility operations
  • Demonstrated collaborative work style with strong written and verbal communication skills across diverse stakeholder groups
