What this job involves

The role of Facilities Coordinator will assist Facilities Manager/ Assistant Facilities Manager to run daily operations in terms of soft services, helpdesks, EHS related support, fixed assets management, vendor & contract management, procurement & FIN processing, space management, project/initiatives support, management reports, and adhoc assignments whenever needed.

Major Responsibilities

  • Collaborative coordination: Engage with various stakeholders, including client representatives, service providers, and internal teams, to effectively oversee and coordinate facility operations.
  • Maintenance management: Assist in the scheduling and coordination of preventive and reactive maintenance activities to ensure optimal functioning of the industrial facilities.
  • Vendor management: Maintain strong relationships with vendors, contractors, and suppliers, ensuring the delivery of top-quality services and adherence to contractual obligations.
  • Budget oversight: Collaborate with the Facilities Manager in the preparation and monitoring of budgetary plans, ensuring cost-effective operations.
  • Documentation and reporting: Support the preparation of reports, presentations, and documentation related to facility operations, maintenance activities, and performance analytics.
  • Safety and compliance: Ensure compliance with applicable regulations and company policies, promoting a safe and secure working environment for all stakeholders.
  • Continuous improvement: Identify opportunities for process optimization, cost reduction, and efficiency enhancement, contributing to the improvement of overall facility performance.

Interested?  A candidate would need to have the following qualifications

  • Minimum of 2 years of experience in facilities coordination or related roles.
  • Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate and build relationships with diverse teams and stakeholders.
  • Proficiency in utilizing computer applications, including MS Office Suite and facilities management software.
  • Strong attention to detail and problem-solving abilities, ensuring accurate and timely resolution of facility-related issues.
  • A proactive and self-motivated mindset, with the ability to work both independently and as part of a team.
  • Demonstrated understanding of safety regulations and practices, ensuring compliance within a facility setting.

Preferred qualifications:

  • Experience with industrial facilities coordination, including knowledge of specialized equipment and systems.
  • Familiarity with sustainability initiatives and best practices within the industrial sector.
  • Experience with managing facility-related projects, from planning to execution.
  • Proficiency in utilizing computerized maintenance management systems (CMMS) or other related software.
