The Onsite Operations Supervisor is responsible for the successful execution of production, logistics, and staffing for pop-up retail experiences and brand activations. This role ensures that all onsite operations run smoothly, efficiently, and in alignment with Vibee brand standards and client expectations. They will serve as the primary point of contact during setup, live activation, and breakdown.

THE ROLE 

The Onsite Operations Supervisor is responsible for the successful execution of production, logistics, and staffing for pop-up retail experiences and brand activations. This role ensures that all onsite operations run smoothly, efficiently, and in alignment with Vibee brand standards and client expectations. They will serve as the primary point of contact during setup, live activation, and breakdown. 

RESPONSIBILITIES

Daily Operations Management 

  • Own the day-to-day functioning of the activation space, including staff oversight, break coverage, and general rhythm of show (ROS). 
  • Serve as the main onsite contact to troubleshoot issues in real time and ensure smooth guest flow and team coordination. 
    • Ensure brand standards and safety protocols are upheld at all times. 

Staffing & Team Oversight 

  • Supervise the daily staffing plan, including check-ins, break rotations, and shift transitions. Own bi-weekly staff scheduling and submit final hours for payroll approval. 
  • Lead pre-shift briefings and coach team members to uphold performance and experience standards. 
  • Act as point of contact for all onsite staff, ensuring accountability and morale.

VIP & Client Engagement 

  • Coordinate and lead VIP walkthroughs and client visits as needed, ensuring the space is polished and activation-ready. 
  • Provide professional, on-brand representation during client-facing moments.

Logistics & Vendor Coordination

  • Coordinate with vendors and production teams for timely load-ins, asset setup, and daily operational needs. 
  • Ensure inventory, signage, and equipment are accounted for and in working order each day.

Health, Safety & Compliance 

  • Maintain daily compliance with safety and sanitation requirements, including venue protocols and any applicable public health guidelines. 
  • Lead site-level risk assessments and implement contingency plans when needed. 

QUALIFICATIONS

  • 3–5 years of experience in event production, retail activations, or onsite operations
  • Strong leadership, scheduling, and communication skills 
  • Experience managing hourly teams in high-traffic environments 
  • Detail-oriented with strong time and priority management 
  • Ability to work long hours with a flexible schedule, accommodating operational needs.
  • Capable of responding professionally to changes and unexpected situations in a dynamic event environment. 

WORK ENVIRONMENT 

  • Must be able to tolerate loud noise levels & busy environments on site at our events
  • May sit for extended periods of time and work in drastic temperature climates.
  • Must be willing to work during evening and weekend hours, as required, to meet deadlines Must be willing to travel as required.

Hiring Salary Range: $24.00 – 26.00 USD
