Main responsibilities

  • MIS Maintenance: Regular/ Monthly updation of MIS for Projects. This includes Cost, Schedule, Scope, Risk, Stakeholders, Key Milestones and reporting related to project.

  • Project Charter Creation: Support Program & Project Managers in information gathering and documentation for project charter development. Drafting and updation of project charters in MIS Tool to align with business objectives.

  • Project Monitoring and Tracking: Establish and maintain project tracking systems to monitor progress against schedules and cost parameters. Prepare regular status updates on project activities and milestones.

  • Risk Management: Support Program & Project Managers in risk identification, documentation, and maintenance of risk registers. Coordinate risk assessment and mitigation planning activities.

  • Project Planning and Scheduling: Create comprehensive project plans. Maintain schedules, including key milestones. Set up and track the project in project management tool (e.g., Planisware).

  • Resource Management: Independently manage and update project information in Planisware. Coordinate resource allocation updates and maintain resource management data for governance and analytics.

  • Communication and Stakeholder Management: Implement communication and stakeholder management plans. Coordinate core and extended team activities.

  • Project Meetings and Documentation: Support Project Managers in leading project meetings, preparing agendas, and document Minutes of Meeting (MOM). Maintain action/decision logs and project documentation.

  • Cost Management: Independently handle Purchase Requisitions, Purchase Orders, Invoice management, and payment tracking. Coordinate with finance and suppliers to ensure timely processing of project-related transactions.

  • Supplier Management: Perform supplier research, evaluation, and tender creation processes. and contract negotiation. Monitor supplier performance and manage ordering and invoicing. 

  • Support Supplier Management: Support supplier research and selection, including tender creation and contract negotiation. Monitor supplier performance and manage ordering and invoicing. 

  • Project Change Management: Support and documentation of project changes, including finance, resources, and scope. Handle cost calculations and change orders. 

  • Project Closure, Transition and Lessons Learned: Facilitate administrative and system closure of projects. Archive project documentation and deliverables. Prepare for project transition to manufacturing teams. Facilitate project reviews and lessons learned sessions. 

  • Project Ways of Working: Adopt current practice and help in contributing better ways of working along with the Project Management team.

About you:

  • 5 + years of experience in project management in Pharmaceutical Industry with business partnering role, Industrial / M&S background with experience in various functions,

  • Experience of working on manufacturing sites in either of these domains is an added advantage

  • Background in stakeholder management and business partnering across multiple departments or functions

  • Experience in managing multiple projects simultaneously with competing priorities

  • Education: Bachelor's or master’s degree in Life Sciences, Business Analytics, Data Science or related field. Training or certification in Project Management (not mandatory)
