Job Details

We are looking for an Operations Administrative Specialist to provide comprehensive support to the Operations Team across all logistics and customs activities.

This role requires flexibility and availability to work on a rotative schedule, including weekends and nights (remote), to support import arrivals and export departures in compliance with customs regulations.

Primary Duties and Responsibilities

  • Provide administrative and operational support to ensure activities are executed efficiently, timely and cost-effectively.

  • Ensure client needs and expectations are consistently met in coordination with internal teams and global offices.

  • Guarantee compliance with all applicable regulations, internal procedures, and customs guidelines.

Customs & Documentation

  • Transmit import and export courier declarations to Customs and support tariff classification inquiries.

  • Handle and respond to queries from Peru Customs authorities.

  • Submit required export documentation (MAWB, CMD and related documents) to Customs.

  • Prepare, review and compile all necessary documentation for shipments (HWB, MAWB, permits, dangerous goods declaration, certificates, etc.).

  • Manage export regularization and confirm customs releases, ensuring dispatch planning is aligned with Customer Service.

  • Collect and verify supporting documentation to ensure compliance with import/export regulations.

  • Ensure all permits are approved and properly uploaded into internal systems (e.g. Optiview).

Operations & Coordination

  • Monitor import shipments across systems (courier and customs agents) and update tracking tools accordingly.

  • Coordinate inspections (Customs and other authorities) and manage replenishment of packaging materials (dry ice, gel packs), including inventory control.

  • Print, file, track and safeguard all import/export documentation.

  • Monitor shipments during transportation and proactively respond to deviations.

  • Maintain clear and proactive communication with local and international World Courier stations and agents.

  • Perform additional ad hoc duties as required.

Requirements

Education & Background

  • Degree in International Business, Logistics or related field.

Experience

  • Minimum 5 years of experience in customs operations and logistics.

  • Solid knowledge of customs procedures and tariff classification.

Additional requirements (valued)

  • Experience in courier or logistics companies.

  • Dispatch Assistant certification (nice to have).

  • Experience leading projects or small teams (desirable).

Languages

  • Intermediate level of English.

  • Attention to detail and ability to manage multiple tasks simultaneously.

  • Reports to: Operations Supervisor
