So, what’s the role all about?
We are hiring an experienced Office Manager to oversee daily operations of our Hoboken office, supporting approximately 200 employees in a corporate, multinational environment. This is a hands‑on, onsite role requiring strong facilities management, vendor coordination, health & safety oversight, and employee‑experience support. The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities while maintaining a professional, secure, and welcoming workplace.
How will you make an impact?
Office & Facilities Operations
- Manage day‑to‑day office operations including facilities, maintenance, space planning, and inventory
- Oversee cleaning services, security procedures, and preventative maintenance (PPMs)
- Coordinate office moves, layout changes, and workstation setups
- Ordering of all office supplies, snacks, beverages within budget, plus invoicing.
- Track facilities budgets, invoices, purchase orders, and expense reporting
Front Desk & Visitor Management
- Manage reception operations and visitor access control
- Answer and direct incoming calls professionally
- Ensure badge access, sign‑in/out procedures, and lobby standards are maintained
Meeting Rooms & Events
- Book, monitor, and set up meeting rooms and training spaces
- Coordinate catering, refreshments, and room configurations
- Support office events and employee engagement initiatives
Health, Safety & Security
- Ensure compliance with local health and safety regulations
- Maintain Accident Book and Facilities Log
- Coordinate fire safety procedures, DSE assessments, First Aiders, and Fire Wardens
- Act as Incident Control Officer during emergencies
- Ensure office security aligns with company policy and building standards
Administrative & Team Support
- Support new‑hire onboarding (desk setup, badges, IT coordination)
- Assist with leaver equipment returns
- Provide administrative support to departments as approved
- Liaise with Facilities Manager, HR, IT, and Procurement teams
Vendor & Contract Management
- Manage relationships with landlords, service providers, and vendors
- Support contract negotiations and procurement compliance
Required Experience & Skills
- 3–5 years of Office or Facilities Management experience in a corporate or multinational environment
- Proven experience managing vendors, budgets, and contracts
- Strong knowledge of health & safety requirements (certifications a plus)
- Excellent communication skills with the ability to work across all levels
- Highly organized, proactive, and solution‑oriented
- Proficient in Microsoft Office; strong Excel skills preferred
