About the opportunity
We are looking for a proactive, ambitious, and resourceful Office Manager to join our team in Madrid. You will report to the Managing Director. Your mission is to oversee our central office operations, act as a trusted partner for our local and global teams, and ensure a first-class, unique environment for our high-performing team. Beyond local responsibilities, you will work in close collaboration with our global teams and international stakeholders to align on best practices and contribute to Teads’ dynamic global culture.
What will you do?
- Office Management: Direct and oversee central office operations, ensure adherence to Health and Safety regulations, manage relationships with key stakeholders, external suppliers, landlords, facilities, and manage the office budget.
- Finance & Admin: Support Finance in administrative tasks related to billing process, HR administrative related tasks, liaison with third parties (accounting and tax consultants among others).
- People & Culture: Support People & Culture department on local tasks such as playing a key role during onboarding of new hires and offboarding of leavers process, coordinating all aspects of it.
- Leadership Support: Provide high-level Executive Assistance to the MD and support with travel and expense reporting.
- Team Leadership: Act as a go-to person for the entire team, be the culture and process ambassador for your team.
- Cross-department collaboration: IT or other departments as required with local administrative and logistical requirements -such as managing IT assets— serving as the essential on-site partner for global functions.
- Events & Culture: Plan and organize internal and external events while driving innovation to keep the office an enjoyable and proud place to work. Be the key member of the “happiness management” organising proactively employee-related events.
- Ad hoc Projects.
Your First 6 Months
- Month 1: Find your bearings, build relationships with the team and stakeholders, and establish contact with external suppliers.
- Month 3: Become comfortable handling office inquiries and company processes, and organizing events.
- Month 6: Be recognized as the "go-to person" for the office, providing best practices and innovation to the work environment.

- Experience: Minimum of 3 years of EA/Office Management experience in a fast-paced, dynamic environment.
- Communication: Excellent verbal and written skills (fluent Spanish and English are required for scope).
- Interpersonal Skills: Warm and approachable person, confident, positive, outgoing, and a true team player.
- Organization: Super organized, highly detailed-oriented, and always one step ahead.
