Office Administrator - Part Time
About the Role
The Office Administrator plays a critical role in ensuring the Sydney office operates smoothly, professionally, and efficiently. This position is suited to someone with solid experience who can run the office with minimal direction, anticipate needs, and confidently support senior stakeholders.
The role focuses on office operations, executive support, vendor management, and event logistics. You’ll be trusted to own the day-to-day details, manage competing priorities, and act as a reliable point of continuity for the site.
This is a part-time, on-site role, working Monday to Friday,10am–2:00pm (20 hours per week). The current office is Chatswood - we are looking at a potential re-location to the Sydney CBD.Key Responsibilities
Office Operations
- Own daily office operations to maintain a professional, well-organised workplace.
- Act as the first point of contact for visitors, calls, and general correspondence.
- Manage facilities, office supplies, and service providers with minimal oversight.
- Build and maintain strong relationships with vendors and suppliers.
- Coordinate domestic and international shipments and logistics.
Executive & Administrative Support
- Independently manage expense submissions for the Australia-based Executive team.
- Prepare, review, and maintain high-quality reports, documents, and presentations.
- Handle sensitive information with discretion and sound judgement.
- Support ad-hoc administrative initiatives and cross-functional coordination.
Events & Site Support
- Partner with the Executive Administrative Assistant to support high-profile events, including:
- AGM logistics
- Executive offsites
- Leadership meetings
- Plan and deliver local office events and engagement activities end to end.About You
You’re a seasoned office administrator who brings structure, judgement, and calm to a busy environment. You’re comfortable operating autonomously, spotting issues before they escalate, and balancing the needs of senior leaders with day-to-day office priorities.
You will have
- 3+ years’ experience in office administration, executive support, or a similar role
- Demonstrated ability to manage an office independently and proactively
- Strong organisational, time-management, and prioritisation skills
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Confidence supporting senior executives and managing external vendors
- A service-oriented mindset with a strong focus on quality, accuracy, and follow-through
