Voltus is looking for a self-starting Administrative Assistant who is comfortable juggling multiple tasks and priorities. This role reports to a senior-level Executive Assistant and is a vital member of the People Team led by the Senior Director of People Operations. You will perform administrative tasks for the company, including assisting fellow employees. The ideal candidate possesses knowledge of and comfort in managing communication, schedules, expenses, events, and special projects. The work is fast-paced with frequently shifting priorities and will require you to build strong relationships with the Senior Leadership Team and other employees. You epitomize Voltus's core values of Bright, Gritty, and Good, and have a deep desire to help achieve our mission to use distributed energy resources to accelerate the energy transition to a carbon-free grid.
Work closely with and provide support to two Executive Assistants who are each supporting multiple C-Suite leaders. Duties may include, but are not limited to, scheduling, filing expense reports, making travel arrangements, preparing presentations and reports, and other critical priorities.
Assist the EAs in planning and overseeing team events that take place in North America, working with hotels, meeting venues, and restaurants.
Prepare PowerPoint presentations, including for Veritas, the weekly all-staff meeting.
Download and distribute the daily mail from a virtual mailbox.
Check phone messages and distribute them as needed.
Manage documents, meeting recordings, and data hygiene in the company drive.
Serve as a point of contact for employee inquiries and direct requests to the appropriate resources.
Provide limited administrative support to Senior Vice Presidents and Vice Presidents.
Fulfill all other responsibilities as directed by the position’s manager and the Senior Director of People Operations.
Provide occasional coverage for executive assistants during planned vacation time, short absences, or periods of high workload
Experience and success (2+ years) as an administrative or executive assistant or office manager.
Knowledgeable of and comfortable with Microsoft Office, Google Workspace, Slack, and a high level of Internet communication.
Able to learn new software as needed, sometimes through online tutorials.
Proven critical thinking skills and collaborative approach to problem solving.
Customer-service-oriented approach to supporting employees and leaders, adaptability to quickly changing business priorities, and a solutions-focused mindset
