Executive Assistant, Ad Sales Business & Legal Affairs

The Executive Assistant for the Ad Sales Business & Legal Affairs team will provide high-level administrative and operational support to the SVP and a group of attorneys and legal professionals. This role serves as a strategic partner, helping to manage priorities, streamline processes, and ensure seamless day-to-day operations for a fast-paced, client-facing legal team. The ideal candidate is proactive, highly organized, and exercises strong judgment while supporting senior stakeholders across the organization. 

Job Duties 

  • Provide comprehensive executive support to the SVP and legal leadership, managing competing priorities with a high level of discretion and professionalism 
  • Own complex calendar management across multiple stakeholders, including prioritization, conflict resolution, and coordination across executive-level meetings 
  • Partner closely with internal and external executive assistants to align schedules and facilitate efficient communication across teams 
  • Coordinate logistics for high-priority meetings, including preparing materials, managing audio/visual needs, and ensuring a seamless experience 
  • Anticipate scheduling challenges and proactively adjust plans to optimize leadership time and availability 
  • Prepare and refine executive-level presentations, reports, and communications (both digital and hard copy) 
  • Manage travel arrangements, expense reporting, and related documentation with a high degree of accuracy and timeliness 
  • Oversee invoice processing and vendor coordination, including outside counsel billing (Tymetrix, SNAP, and APEX/SIM) 
  • Support contract management processes, including tracking, organizing, and preparing agreements under attorney supervision 
  • Maintain and organize electronic filing systems, ensuring documents are accurate, accessible, and up to date 
  • Prepare summaries and tracking materials for key agreements and legal matters 
  • Drive internal team communications and maintain the team’s intranet presence 
  • Lead and execute special projects, bringing structure and follow-through from initiation to completion 

Basic Requirements 

  • 3+ years of experience supporting executives, ideally within a legal, media, or corporate environment 
  • Bachelor’s Degree or equivalent experience 
  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint), with strong calendar and document management skills

Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.

Salary range: $70,000 - $90,000 (overtime eligible)
