Travel Coordinator
The Travel Coordinator will own travel coordination for the IMC Sydney office, serving as the primary point of contact for all international and domestic travel bookings. The role sits within the Workplace Operations team and plays a critical part in ensuring IMC’s growing travel programme runs smoothly, efficiently, and in line with policy.
With travel coordination as the primary focus and office administration as the secondary, this is an ideal opportunity for someone with a strong travel or corporate services background who enjoys variety and wants to build broad operational experience in a fast-paced environment.
Your Core Responsibilities
Travel Coordination
- Own end-to-end international flight and accommodation bookings, also supporting additional travel requirements across IMC events and programmes
- Manage travel changes, cancellations, and queries, acting as the escalation point for staff and programme participants
- Work with relevant platform and internal stakeholders to identify and maximise automation and innovation opportunities across travel booking and coordination processes
- Liaise with travel vendors to negotiate preferable rates and terms where applicable, working in partnership with Procurement as required
- Manage travel policy documentation and work with IMC counterparts globally to ensure alignment
- Support the current travel platform, policy, and process review
- Prepare periodic reporting on travel activity, volumes, and trends to support team visibility and planning
- Maintain and update travel trackers, ensuring visibility of bookings across the team
Office Administration
- Provide administrative support across programmes where there is natural overlap with travel logistics, including Traineeship, Intern, and L&D programmes
- Assist with coordination of internal events and programmes as required
- Maintain relevant pages on the APAC Workplace Operations Confluence site
- Support budget tracking for relevant programmes and events
- Provide front office cover as needed
- Assist with ad-hoc administrative and project work across the Workplace Operations team
Your Skills and Experience
- Experience in a corporate travel coordination, travel agency, or executive assistant role
- Strong working knowledge of travel booking platforms and processes
- Excellent organisational skills with the ability to manage competing priorities
- High attention to detail and accuracy
- Confident communicator, written and verbal, with a professional and proactive approach
- Comfortable working in a fast-paced environment with shifting priorities
- A natural inclination towards process improvement, with an interest in automation and finding smarter ways to work
- Team player with a flexible, can-do attitude
