Accounting & Business Support Specialist
We are seeking a detail-oriented and client-focused Accounting & Business Support Specialist to manage administrative, accounting, and financial operations for multiple clients. This role requires strong technical accounting skills, hands-on experience with QuickBooks, and the ability to provide strategic financial insights to support business growth.
Key Responsibilities Administrative
• Communicate directly with clients via email and phone to address financial and operational needs.
• Maintain organized financial and accounting records, including scanning, filing, and document retention.
• Assist in preparing and reviewing contracts and business agreements.
• Ensure proper record-keeping and maintain secure document backups for each client.
Accounting & Finance
• Prepare accurate financial statements, including consolidated reports.
• Perform month-end close activities, including reconciliations and adjustments.
• Manage Accounts Receivable (AR): invoicing, collections, and payment processing.
• Manage Accounts Payable (AP): bill entry and payment processing.
• Oversee payroll processing, including running payroll and making necessary adjustments.
• Maintain and update accounting records in QuickBooks Desktop, QuickBooks Online, and other systems.
• Analyze financial data and provide actionable insights to support decision-making.
Business Development
• Collaborate with business owners to identify growth opportunities.
• Support clients in improving financial and operational processes.
• Develop strategies to enhance profitability and scalability.
Skills & Qualifications Hard Skills
• Strong understanding of accounting principles and financial reporting.
• Proven hands-on experience with QuickBooks (Desktop and Online required).
• Solid knowledge of US GAAP (mandatory due to US-based clients).
• Experience handling full-cycle accounting (AR, AP, payroll, reconciliations).
• Financial analysis and reporting skills.
Soft Skills
• Excellent communication skills (fluency in English required; Spanish is a plus).
• Strong organizational and time management skills with the ability to manage multiple clients.
• High attention to detail and accuracy.
• Client-oriented mindset with strong problem-solving ability.
• Ability to provide strategic insights beyond transactional accounting work.
