About the Role:

The Warehouse Coordinator is responsible for coordinating inbound and outbound warehouse operations, inventory management, material movements, production supply activities, stock reconciliation, and sampling activities in accordance with EH&S, cGMP, GDP, and company quality requirements.

Working closely with Manufacturing, Quality, Procurement, Logistics, and Warehouse Operations, this role ensures the efficient flow of materials to support production and distribution activities across the Banyo and Woolloongabba sites.

What You'll Do:

Warehouse Operations & Material Management

  • Coordinate inbound and outbound warehouse activities to ensure the timely receipt, storage, movement, and dispatch of materials.

  • Support production demand by coordinating material picking activities in line with production schedules and forecast requirements.

  • Coordinate packaging activities for outbound shipments and rejected materials.

  • Coordinate material put-away, replenishment, and storage activities to ensure inventory is maintained in designated locations and available when required.

  • Coordinate and support raw material sampling activities in accordance with approved procedures.

  • Respond to and action Building Management System (BMS) alarms and warehouse operational alerts.

  • Investigate and resolve operational issues relating to SAP transactions, inventory discrepancies, scanners, purchase orders, goods receipts, equipment, EH&S requirements, and material management processes.

  • Support the Distribution Supervisor with upgrades, process improvements, and enhancement of warehouse and materials management processes.

  • Ensure the compliant storage, handling, and movement of materials in accordance with cGMP and GDP requirements.

Production & Inventory Coordination

  • Create production picking tasks and support the issuance of batch numbers and production documentation.

  • Manage updates and revisions to production orders within SAP or other ERP systems.

  • Coordinate material supply requirements through production schedules, KANBAN replenishment, safety stock management, and ad-hoc requests.

  • Ensure materials are available to meet manufacturing and customer requirements.

  • Monitor inventory levels and coordinate replenishment activities where required.

  • Support inventory investigations and reconciliation activities to maintain high levels of inventory accuracy.

Workforce & Operational Coordination

  • Coordinate warehouse staffing rosters to ensure appropriate operational coverage across warehouse activities and shifts.

  • Monitor resource requirements and communicate staffing needs to the Distribution Supervisor and relevant stakeholders.

  • Support workforce planning activities to align warehouse resources with production schedules, inbound deliveries, outbound shipments, and inventory management requirements.

  • Coordinate leave coverage and daily work allocation to maintain continuity of warehouse operations.

  • Support onboarding and training coordination activities for warehouse personnel as required.

Logistics & Supply Chain Support

  • Coordinate warehouse support for inbound and outbound logistics activities.

  • Support transportation and distribution activities as required.

  • Assist with procurement-related activities and material supply coordination.

  • Liaise with suppliers, transport providers, and internal stakeholders to ensure efficient operational execution and excellent customer service.

  • Coordinate maintenance requirements for freezers, cold rooms, material handling equipment, warehouse assets, and associated infrastructure.

Quality & Compliance

  • Maintain compliance with quality systems, data integrity requirements, and regulatory standards.

  • Support investigations relating to deviations, CAPAs, discrepancy reports, and non-conformances.

  • Assist in the preparation, review, and revision of SOPs, Work Instructions, and related documentation.

  • Support internal and external audits and regulatory inspections.

  • Ensure all material movements and warehouse activities comply with cGMP, GDP, and company quality requirements.

  • Support implementation and monitoring of corrective and preventive actions arising from investigations and audits.

Continuous Improvement & Projects

  • Participate in Practical Process Improvement (PPI) initiatives to improve warehouse performance, efficiency, compliance, and customer service.

  • Support warehouse and cross-functional projects as required.

  • Identify opportunities to improve warehouse processes, inventory accuracy, material flow, and operational effectiveness.

  • Collaborate with internal stakeholders to implement process improvements and best practices.

Key Accountabilities

  • Accurate, complete, timely, and compliant execution of material management and inventory transactions.

  • Maintenance of inventory accuracy through cycle counting, stock reconciliation, and inventory control activities.

  • Effective coordination of warehouse activities to support production and distribution operations.

  • Maintenance of warehouse housekeeping, organization, and equipment standards.

  • Compliance with EH&S, cGMP, GDP, and company quality requirements.

  • Timely coordination of material availability to support manufacturing schedules and customer requirements.

  • Support of continuous improvement initiatives that enhance operational efficiency, compliance, and service delivery.

Education

  • Certificate, Diploma, or equivalent qualification in Warehousing, Logistics, Supply Chain, or a related discipline preferred.

  • Current Forklift License desirable.

  • Relevant warehouse or inventory management certifications advantageous.

Experience

  • Demonstrated experience working within a GMP-regulated warehouse or manufacturing environment.

  • Experience using SAP or equivalent ERP systems.

  • Strong inventory control and materials management experience.

  • Experience supporting manufacturing, logistics, or distribution operations.

  • Working knowledge of GDP, GMP, quality systems, and regulatory requirements.

  • Experience coordinating operational activities within a fast-paced environment.

  • Strong understanding of inventory management and warehouse operations.

Work Environment

  • Adhere to all company EH&S policies, procedures, and regulatory requirements.

  • Maintain a safe, secure, and compliant warehouse environment.

  • Participate in EH&S activities including risk assessments, safety observations, inspections, and Gemba walks.

  • Support workplace audits and safety improvement initiatives.

  • Comply with Chain of Responsibility obligations under the Australian Heavy Vehicle National Law.

  • Ensure all warehouse activities are conducted in accordance with EH&S, cGMP, GDP, and company quality requirements.
