We are looking for a highly motivated HR Administration and Payroll Specialist to join our Europe HR Shared Services team. In this role, you will support payroll and HR administration activities for Italy and Spain, working closely with external payroll providers and internal partners across HR, Finance, and IT. You will play a key role in ensuring accurate, timely, and compliant payroll delivery while contributing to process improvements and a high-quality employee experience across the organization.

This position is part of the Europe HR Shared Services function, a collaborative team of on-site and remote professionals supporting employees and managers across 16 European countries.

Responsibilities

  • Manage monthly payroll processing for Italy and Spain in line with payroll calendars and local compliance requirements.
  • Prepare and provide payroll instructions to external payroll providers, review results, and validate accuracy.
  • Ensure payroll operations are delivered accurately, timely, and in compliance with internal controls and Sarbanes-Oxley (SOX) requirements.
  • Coordinate payroll-related tax, social security, pension, and insurance activities and payments.
  • Conduct payroll audits and validation checks to ensure data accuracy and compliance.
  • Resolve complex issues in partnership with HR, Finance, IT, and external vendors.
  • Build and maintain strong working relationships with payroll providers and internal stakeholders.
  • Monitor vendor performance and service level commitments.
  • Ensure compliance with applicable data privacy and data protection requirements, including GDPR.
  • Handle highly confidential employee and payroll information with discretion and professionalism.
  • Identify, document, and implement process improvements to enhance efficiency and service quality.
  • Stay current on legal and company requirements related to HR administration and payroll processing for Italy and Spain.
  • Represent HR Shared Services in local and global projects as needed.
  • Support onboarding and training of new team members on processes, systems, and data flows.

Qualifications

  • Bachelor’s degree in Human Resources, Finance, or a related field preferred.
  • 2+ years of experience in payroll administration or in a payroll specialist role.
  • Fluent written and spoken English, Italian and Spanish are required.
  • Additional language skills are considered a plus.
  • Strong knowledge of payroll and HR processes, systems, and controls.
  • Proficiency in Microsoft Office.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent time management skills and the ability to work within tight deadlines.
  • Ability to troubleshoot inquiries, manage multiple tasks independently, and work effectively under pressure.
  • Ability to collaborate with HR managers and stakeholders across multiple countries.
