Workplace Experience Coordinator

The Role:  You'll be the heartbeat of daily operations, creating an environment where creativity thrives and teams can focus on what they do best. You'll orchestrate the behind-the-scenes magic that keeps a dynamic creative studio running smoothly, from vendor partnerships and facility operations through to curating memorable team experiences and events. This role is about anticipating needs before they arise and solving problems with resourcefulness and care. You'll be trusted with budget management, supplier negotiations, security coordination, and the day-to-day details that matter: from ensuring the coffee's brewing to planning the celebrations that bring teams together. Duties include but are not limited to:

  • Maintain operational excellence across all daily office functions, ensuring a productive, safe, and welcoming workplace environment

  • Manage vendor relationships and maintenance scheduling, coordinating with suppliers to deliver quality services within budget parameters

  • Oversee office supply inventories and procurement, planning expenditure strategically within allocated budgets

  • Serve as a primary point of contact for all facility-related matters including maintenance, cleaning schedules, floor plans, security protocols, and building access management

  • Support daily workplace needs including staff refreshments, beverages, office supplies, equipment management, and catered lunch coordination

  • Design and execute engaging internal events and team activities that strengthen culture and foster connection across the studio

  • Handle workplace enquiries, feedback, and service requests, routing matters to appropriate departments and tracking resolution

  • Coordinate postal and courier services, managing inbound and outbound deliveries with efficiency and attention to detail

  • Perform essential housekeeping duties to maintain presentation standards (dishwasher management, coffee station setup, morning office preparation)

  • Assist with contract renewals, vendor sourcing, and budget tracking to ensure optimal service delivery and cost management

  • Support security operations including badge access administration, staff pass coordination, and access control monitoring

  • Facilitate office moves, workspace reconfigurations, and floor plan updates as business needs evolve

  • Undertake varied administrative projects including data entry, gift coordination, calendar management, and travel arrangements as required

Required Qualifications:

  • Exemplary judgment and discretion when handling confidential or sensitive matters, with proven accountability in stakeholder interactions

  • Empathetic and approachable personality with natural ability to collaborate across diverse teams and put people at ease

  • Proficiency with Google Workspace and comfort adapting to digital workplace tool

  • Professional-level fluency in English, both written and verbal

  • Highly organised with exceptional attention to detail and ability to manage competing priorities in a fast-paced environment

  • Proactive problem-solver with creative mindset and passion for maintaining vibrant, efficient workplace environments

  • Professional presentation and collaborative team mindset, with ability to build positive relationships across all organisational level

  • Background in hospitality, events, or creative workplace environments is advantageous
