This role sits within a global intellectual property operations environment, providing critical support to ensure the smooth and accurate management of patents, trademarks, and related IP assets across multiple jurisdictions.
You will be responsible for coordinating end-to-end IP administrative processes, ensuring filings, deadlines, and documentation are handled with precision and compliance.
The position plays a key role in supporting IP counsel with portfolio management, formal filings, and cross-border prosecution activities.
You will contribute directly to the protection and organization of innovation by maintaining accurate docketing systems and managing global IP workflows.
The role also supports strategic corporate initiatives, including M&A-related IP integration and divestiture processes.
You will act as a key operational partner ensuring efficiency, accuracy, and consistency across IP administration activities.

Accountabilities:
- Provide end-to-end administrative and operational support to IP counsel across patents, trademarks, designs, and copyrights, ensuring accurate execution of formal IP processes.
- Prepare, format, file, and manage patent, trademark, and design documentation for submission across multiple jurisdictions including USPTO, EP, PCT, and other international offices.
- Maintain and update IP docketing systems, ensuring all deadlines, filings, and formal requirements are accurately tracked and completed.
- Instruct and coordinate with foreign outside counsel for national and regional filings, ensuring proper execution and compliance with jurisdictional requirements.
- Monitor and manage central IP communications channels, ensuring timely routing of requests, updates, and documentation to relevant stakeholders.
- Generate reports and data extracts from IP management systems to support counsel decision-making and portfolio oversight.
- Support IP asset integration and divestiture activities related to mergers and acquisitions, ensuring smooth transition and accurate recordkeeping.
- Administer inventor remuneration and related IP compensation processes in accordance with internal policies.
Requirements:
- Bachelor’s degree or equivalent qualification required.
- 4+ years of experience in patent prosecution support, IP administration, or paralegal roles within an intellectual property environment.
- Strong knowledge of US, European (EP), and international patent and trademark prosecution processes.
- Proficiency with IP docketing and portfolio management systems (e.g., IP Folio or similar platforms).
- Highly detail-oriented with strong analytical, organizational, and data management skills.
- Ability to manage multiple deadlines and prioritize tasks in a fast-paced, global environment.
- Strong communication and coordination skills for working with internal counsel and external legal partners.
- Experience supporting cross-border IP filings and formalities-based legal processes is highly valued.
