The role:
Join us in a key support role where your organization and initiative help keep Region 2 running smoothly. As the senior executive assistant, you’ll provide trusted, confidential support to the region 2 manager and leadership team managing schedules, tracking priorities and keeping projects moving. You’ll also collaborate across ODOT to help connect the work that plans, delivers and maintains our region’s highways.

A day in the life:
Provide confidential administrative, technical and executive support to the Region 2 Manager and Region 2 Headquarters and Tech Center (HQ/TC) managers.
Provide support to four Area Commission’s on Transportation including prepare agendas and information packets, schedule presenters, prepare presentations, minutes and track assignments as requested.
Review, verify and process contract invoices in OregonBuys or Transportation Environmental Accounting Management System (TEAMS).
Develop and maintain tracking systems to monitor invoice status and ensure timely payment of all obligations. If tracking systems exist, recommend and propose changes when needed.
Curate and organize digital records to ensure prompt retrieval of financial information following approved accounting standards and section guidance. Develop proposals for streamlining and efficiency.
Serve as HR liaison for Region 2 with ODOT HR. Coordinate communication of HR policies and expectations regarding recruiting, position descriptions, record handling and other HR related matters with managers, other administrative staff and Region 2 employees as appropriate.
Establish and maintain effective working relationships with internal and external customers.
Assist with requests for additional resources and assistance and ensure there’s backup coverage during absences.
Hybrid work options available – can work remotely up to two days per week.
Work is performed in an office environment and requires travel, occasional overtime and lifting up to 50 pounds.

The salary range listed is the non-PERS monthly salary range. If you are already a participating PERS member or once you become PERS eligible, the salary range will increase by 6.95%.

Minimum qualifications:
One year of experience performing administrative duties in support of agency projects or programs.
Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
Special qualifications:
Driving is an essential function of this position. You must have a valid US driver license and an acceptable driving record. We will conduct pre-employment driving records checks on our final candidate(s). Your license does not have to be issued in Oregon to be considered.

Demonstrated ability to provide confidential executive-level administrative support, exercising discretion, sound judgment, and professionalism when handling sensitive information, communications, schedules and organizational matters.
Experience processing, tracking, and reconciling invoices, contracts and related financial documents with a high degree of accuracy and attention to detail.
Experience using Microsoft Office (Word, Excel, Outlook), along with cloud-based file storage and team collaboration platforms.
Strong organizational and project coordination skills, with the ability to manage multiple priorities, monitoring deadlines, track action items and maintain records and documentation across concurrent projects.
Experience as a liaison between leadership, departments, and external stakeholders, facilitating effective communication and ensuring timely follow through on assignments and initiatives.
