Podcast Production Coordinator
This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.
Our client is a content-driven organization that leverages podcasting, digital media, and audience engagement to build authority, educate listeners, and grow its brand presence. As podcast content continues to play a critical role in the organization's marketing and thought leadership efforts, they are seeking a Podcast Production Coordinator to manage the entire podcast production lifecycle from guest outreach and episode planning through editing, publishing, and performance reporting. This role combines podcast operations, content production, audio/video editing, guest management, and audience growth support.
Role Overview
The Podcast Production Coordinator will be responsible for owning the end-to-end podcast production process, including pre-production planning, guest coordination, recording support, post-production editing, content distribution, and analytics reporting. The Podcast Production Coordinator will work closely with leadership, guests, designers, and content stakeholders to ensure every episode is professionally produced, delivered on schedule, and optimized for audience engagement. This role is ideal for a highly organized production professional who enjoys operating independently while balancing content strategy, technical production, and project management responsibilities.

Key Responsibilities
Pre-Production & Episode Planning
Participate in episode planning and kickoff meetings.
Research guest backgrounds, industries, and recent work.
Develop episode titles and editorial angles.
Conduct pre-interview preparation calls with guests.
Maintain and update AI prompt templates used within production workflows.
Pitch episode concepts and guest recommendations.
Send guest confirmation emails and preparation materials before recordings.
Guest Management & Communications
Manage guest outreach and booking communications.
Vet guest inquiries against show requirements and audience fit.
Coordinate scheduling logistics and recording preparation.
Notify guests and stakeholder contacts regarding recording schedules.
Maintain professional communication throughout the guest experience.
Send post-recording follow-up communications and gifts.
Recording & Production Support
Welcome guests and prepare them for recording sessions.
Conduct audio and video quality checks before recording.
Support recording sessions through note-taking and production assistance.
Manage screen sharing and recording logistics.
Capture real-time show notes and production details.
Troubleshoot technical issues during live recording sessions.
Audio & Video Post-Production
Download, organize, and label raw recording files.
Perform audio cleanup, repair, and enhancement.
Mix and master podcast audio for distribution.
Edit full-length podcast episodes.
Record and integrate episode introductions.
Export final episodes in required formats.
Maintain production quality standards across all content.
Social Media & Content Repurposing
Identify highlight-worthy moments from podcast episodes.
Create short-form video clips optimized for social media platforms.
Edit content for audience engagement and platform-specific requirements.
Source supporting visuals, b-roll, images, and media assets.
Add captions and accessibility enhancements to content.
Coordinate creative asset development with design resources.
Distribution & Content Publishing
Schedule and publish podcast episodes across distribution platforms.
Manage podcast publishing calendars and content schedules.
Build and maintain episode landing pages.
Draft and schedule promotional social media content.
Support ongoing content distribution initiatives.
Ensure timely delivery of podcast content across channels.
Reporting & Analytics
Track downloads, audience engagement, and content performance.
Compile recurring analytics and performance reports.
Monitor audience growth trends and engagement metrics.
Support content strategy through performance insights.
Participate in content review and performance discussions.
Project & Workflow Management
Track episode progress, deliverables, and deadlines.
Maintain workflow visibility across multiple episodes.
Manage tasks and production schedules within project management systems.
Coordinate stakeholders involved in the production process.
Ensure production timelines remain on track.
Qualifications Experience
Proven experience in podcast production, podcast operations, audio production, video production, or a closely related content production role.
Experience managing podcast production workflows from planning through distribution.
Experience editing audio and video content.
Experience supporting guest communications and scheduling.
Experience publishing content across podcast and video platforms.
Experience creating social media clips and content repurposing assets.
Experience managing multiple content projects simultaneously.
Experience tracking analytics and performance metrics.
Qualifications Skills
Proficiency with Riverside.
Proficiency with Adobe Podcast or iZotope RX.
Proficiency with Adobe Premiere.
Proficiency with Opus Clip.
Experience with Megaphone preferred.
