Role: JBS Prism Project Coordinator
Position Summary:
The JBS CapEx Coordinator is a critical governance and operational role responsible for managing the end-to-end administrative and financial control processes for capital expenditure projects across the Lendlease Property Management Portfolio managed by JLL.
This position serves as the central coordination hub between operational teams, finance teams, and property management, ensuring strict compliance with approval frameworks, financial accuracy, and audit trail integrity throughout the capital project lifecycle.
The role enforces segregation of duties, validates financial data across multiple integrated systems (Prism, MRI PMX, Power Pages), and ensures all capital expenditure transactions meet governance standards and delegation of authority requirements.
Key Accountabilities:
1. Vendor Spend Management & Approval
- Create and approve vendor spends in Prism following Power Pages CapEx submission
approvals
2. Project Close-Out & Financial Reconciliation
- Formally close completed capital projects in Prism after full financial reconciliation
3. Governance, Compliance & Quality Assurance
- Maintain strict governance controls, segregation of duties,
and comprehensive audit trails
4. Stakeholder Collaboration & Communication
Performance Metrics:
1. 100% accuracy rate
2. Critical workflow checkpoint analysis
3. Audit finding resolution rate within agreed timelines
4. Completeness score of 100% on audit
Key Systems:
1. Prism (Project Management System)
2. Power Pages (Approval Workflow Platform
3. Power BI (Reporting & Analytics):
Technical Skills Required:
1. Advanced Microsoft Excel proficiency:
* Data analysis and formula application
* Pivot tables for summary reporting
2. PDF document management:
* Extract, save, and upload approval documentation
* Organise digital filing systems for audit trail maintenance
3. Database navigation and data validation:
* Cross-system data verification (Power Pages to Prism to MRI PMX)
* Identify integration failures and data mismatches
Essential Qualifications & Experience:
Education
Minimum: Diploma or Associate Degree in Accounting, Finance,
Business Administration, or related field
Preferred: Bachelor's Degree in Accounting, Finance, or Commerce
Professional Experience:
• Minimum 2-3 years in accounts payable, financial operations, or business services role
• Experience in property management, real estate, or construction accounting highly
desirable
• Prior exposure to capital project financial tracking or project accounting preferred
• Experience working in centralised shared services or business services environment
advantageous"
Technical Competencies:
• Demonstrated proficiency in enterprise accounting systems
(MRI, Yardi, SAP, or similar ERP platforms)
• Proven ability to work with multiple integrated systems and understand data flow
relationships
• Experience with project management software (Prism or similar platforms) desirable
• Advanced Microsoft Excel skills (formulas, data validation, pivot tables, reconciliations)
Knowledge Requirements
• Understanding of general ledger accounting principles and chart of accounts structure
• Familiarity with capital expenditure accounting and asset capitalisation concepts
• Understanding of segregation of duties and internal control frameworks
• Awareness of delegation of authority principles and approval hierarchies
