Job Role Details
A UK Payroll Analyst or Specialist is responsible for the end-to-end processing of payroll, ensuring employees are paid accurately and on time while maintaining compliance with UK tax laws and regulations. The role typically involves-
- Utilizes HRMS software and/or 3rd Party Vendor to effectively manage the day-to-day processing of employee payroll .
- Reviews new hires, rehires, and transfers entered the payroll system for accuracy utilizing peer review process.
- Updates earnings, taxes, and voluntary and involuntary deductions for appropriate payroll cycle(s) by data entry into payroll system.
- Follows documentation and assist in maintaining Standard Operating Procedures (SOPs).
- Ensuring payroll activities comply with UK tax laws, National Insurance contributions, statutory payments (e.g., Statutory Sick Pay, Statutory Maternity Pay), and other legislation.
- Conducting regular payroll data reconciliations and audits to identify and correct discrepancies.
- Generating payroll reports for management, tax filings, benefit deductions, and regulatory requirements.
- Handling payroll-related queries from employees.
Key Responsibilities
- Manage the end to end payroll with outsourced vendor
- Calculate and process earnings and deductions, including PAYE tax and National Insurance.
- Administer statutory payments such as SSP, SMP, SPP, and ShPP.
- Process starters and leavers and manage employee record changes.
- Ensuring the accuracy and integrity of payroll data before submission.
- Ensure GDPR compliance regarding employee data.
- Assist with year-end payroll procedures (P60s, P11Ds).
- Stay updated with payroll legislation changes and implement adjustments.
- Resolve payroll discrepancies promptly and maintain confidentiality.
Experience:
- Payroll Specialist/Administrator/Analyst: 1-5 years payroll experience.
Skills:
- In-depth knowledge of UK payroll legislation, tax codes, National Insurance, statutory payments, and pensions.
- Strong attention to detail and accuracy.
- Good numeracy and analytical skills.
- Proficiency in payroll software (e.g. ADP, Workday, SAP,) HRIS, and advanced Excel.
- Excellent communication skills for interacting with employees, HR, finance, and external bodies.
- Strong organizational skills to manage multiple tasks and deadlines.
- Problem-solving skills to resolve payroll discrepancies.
- High confidentiality and discretion with sensitive data.

Updates earnings, taxes, and voluntary and involuntary deductions for appropriate payroll cycle(s) by data entry into HRMS system and/or 3rd Party Vendor.
Follows documentation and assist in maintaining Standard Operating Procedures (SOPs).
Reports concerns to Supervisor and/or Manager when issues are identified and/or escalated.
Utilizes data and reporting from case management tools to ensure that Service Level Agreements are met or exceeded, by providing timely service and quality problem resolution each and every time.
Partners effectively with teams across HRSS to ensure customer service SLAs are met and/or exceeded.
