The Marketing Operations & Administrative Assistant will be responsible for supporting marketing operations, CRM administration, campaign coordination, reporting, list development, and administrative workflows. The Marketing Operations & Administrative Assistant will help maintain marketing systems, manage data quality, coordinate campaign execution, support business development initiatives, and provide operational support that enables leadership to focus on higher-impact strategic priorities. Maintain and organize HubSpot CRM data and workflows.
Manage contact imports, list segmentation, tagging, and data cleanup.
Support lead tracking and routing processes.
Ensure marketing-generated leads are accurately categorized and logged.
Pull and organize marketing and pipeline reports.
Maintain campaign tracking consistency across systems.
Support CRM integration initiatives and data management activities.
Assist with landing page setup and updates.
Build and format email campaigns.
Upload and organize creative assets.
Maintain content libraries and collateral repositories.
Support integrations between CRM systems and related data sources.
Help ensure marketing systems remain organized and operational.
Schedule and coordinate social media publishing activities.
Manage recurring content workflows and campaign execution tasks.
Support campaign launches across LinkedIn, Meta, Google, and email marketing channels.
Coordinate approvals and publishing timelines.
Monitor campaign deliverables and execution schedules.
Help ensure marketing initiatives are launched accurately and on time.
Coordinate inbound design requests.
Manage revision workflows with graphic designers.
Organize campaign assets and collateral deliverables.
Support brand consistency across marketing materials.

Organize attendee lists and outreach tracking.
Support business development collateral distribution.
Maintain supporting documentation related to event and business development initiatives.
Build and maintain target lists using ZoomInfo, LinkedIn, SPS, and related tools.
Support audience segmentation and list enrichment initiatives.
Assist with audience uploads and database maintenance.
Pull recurring marketing and pipeline reports.
Organize intermediary coverage reports.
Maintain visibility into marketing-generated pipeline activity.
Coordinate calendars and scheduling activities.
Assist with inbox management and follow-up organization.
Coordinate internal meetings and administrative workflows.
Manage inbound requests and task prioritization.
Support structured operating rhythms across marketing, business development, and commercial initiatives.
Ensure approvals, deliverables, and follow-up activities move forward efficiently.
Experience supporting marketing operations, marketing coordination, administrative support, business development support, or related operational functions.
Experience working with HubSpot or similar CRM platforms.
Experience managing data, contact records, list segmentation, or CRM administration activities.
Experience supporting campaign execution and marketing operations workflows.
Experience coordinating projects, approvals, timelines, or deliverables.
Experience working with marketing reports, pipeline reporting, or business reporting processes.
Experience supporting administrative functions such as scheduling, coordination, and workflow management.
Experience using ZoomInfo, LinkedIn, or similar research and list-building tools is preferred.
