The Marketing Operations Manager is responsible for the operational effectiveness, governance, and scalability of the Marketing Communications function. This role serves as the central point of coordination for marketing operations, establishing and maintaining the processes, workflows, systems, documentation, and organizational disciplines that enable efficient execution across marketing, business development, communications, customer engagement, and corporate initiatives.

The Marketing Operations Staff partners closely with executive leadership, Business Development, Finance, Human Resources, Engineering, Operations, and external partners to ensure priorities remain aligned, projects are executed effectively, resources are appropriately coordinated, and operational risks are proactively addressed. This position operates with significant independence and is expected to identify opportunities to improve organizational effectiveness through process optimization, operational discipline, and continuous improvement initiatives.

JOB DUTIES AND RESPONSIBILITIES

Marketing Operations Leadership

  • Lead the operational management of the Marketing Communications function to ensure projects, initiatives, and deliverables are executed effectively and on schedule.
  • Establish, maintain, and continuously improve marketing workflows, project management processes, approval systems, and documentation standards.
  • Develop operational frameworks that improve visibility, accountability, and execution across the marketing organization.
  • Monitor organizational priorities, workload distribution, resource constraints, and project dependencies to ensure alignment with business objectives.
  • Identify operational risks and develop mitigation strategies to minimize disruption to critical initiatives.
  • Project Portfolio Management

  • Oversee and coordinate multiple concurrent marketing, communications, business development, and corporate initiatives.
  • Develop and maintain integrated project plans, timelines, milestones, and status reporting mechanisms.
  • Facilitate prioritization discussions and resource coordination across competing initiatives.
  • Monitor project execution and proactively address schedule risks, bottlenecks, and operational challenges.
  • Lead recurring project reviews, operational meetings, and cross-functional planning sessions.

  • Cross-Functional Business Partnership

  • Serve as a primary operational liaison between Marketing Communications and internal stakeholders, including Executive Leadership, Business Development, Human Resources, Recruiting, Engineering, Operations, Finance, and Program Management.
  • Coordinate executive engagement activities associated with customer meetings, trade shows, conferences, and strategic business initiatives.
  • Ensure marketing requests, priorities, and deliverables are effectively communicated, reviewed, and executed.
  • Facilitate alignment among stakeholders to ensure business objectives, timelines, and expectations remain coordinated.
  • Support strategic initiatives that require cross-functional planning and execution.

  • Vendor, Contract, and Budget Administration

  • Manage operational aspects of vendor relationships, including onboarding, contract coordination, purchase requests, invoice management, and payment tracking.
  • Partner with Finance and Procurement to ensure compliance with company purchasing processes and financial controls.
  • Maintain visibility into marketing expenditures, commitments, and budget utilization.
  • Develop and maintain documentation supporting budget planning, forecasting, and financial reporting activities.
  • Ensure vendor records, contracts, invoices, and supporting documentation remain accurate and organized.

  • Process Governance and Documentation Management

  • Establish and maintain standards for documentation, approvals, records management, and information accessibility across the marketing organization.
  • Govern version control, document retention, and asset management processes.
  • Develop scalable systems that improve organizational knowledge management and continuity.
  • Lead initiatives to improve operational efficiency, consistency, and process maturity.
  • Ensure marketing materials, presentations, and communications comply with established approval and documentation requirements.

  • Communications and Execution Support

  • Support execution of internal and external communications initiatives through operational planning, coordination, and governance.
  • Coordinate review and approval workflows for marketing communications and high-visibility deliverables.
  • Support executive presentations, customer engagements, trade shows, investor activities, and strategic corporate initiatives.
  • Ensure operational excellence and consistency across all marketing activities.
  • Perform additional duties and special projects as assigned to support organizational objectives.
  • JOB REQUIREMENTS AND MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Marketing, Communications, Business, or 8+ years of work experience
  • 5+ years of experience in marketing operations, communications coordination, project management
  • Advanced knowledge of project management, workflow optimization, operational planning, and process improvement methodologies.
  • Strong ability to influence outcomes and drive alignment across functions without direct authority.
  • Demonstrated ability to independently manage complex initiatives and operational challenges.
  • Exceptional organizational, analytical, and problem-solving skills.
  • Strong business acumen and ability to balance operational requirements with organizational priorities.
  • Excellent written, verbal, and presentation communication skills.
  • Advanced proficiency with Microsoft Office Suite, project management tools, and collaboration platforms.
  • Ability to establish credibility and build relationships across all levels of the organization.
  • High degree of professionalism, discretion, and attention to detail.
  • Ability to travel occasionally in support of business needs.
