Job Details

Responsibilities:

  • Respond to all incoming phone calls in accordance with outlined company procedures.

  • Assist visitors with visitor arrival and departure process following all company health and safety procedures. Ensure visitors (customers, vendors, job applicants and others etc.) are properly displaying Cencora issued temporary identification.

  • Provide room reservation guidance. Alert logistics coordinator to attend conference room meeting issues.

  • Receive and fulfill concierge requests.

  • Perform administrative duties related to the workplace, including but not limited to reports, document control, excels documents, emails, office communications, onboarding and all other related matters.

  • Attend meetings locally and globally related to WPS matters and communicate effectively across all levels.

  • Follow office opening and closing procedures.

  • Maintain visitor, contractors and new hires sign in/sign out technology and equipment, parking and directions for accessing the free trade zone area and office, including internal parking stickers request to AFZ security.

  • Assist and support committees, events, promotions, brigades (ERT), and related.

  • Assist with all elements of onboarding (new hires) support.

  • Safety and security duties, responsible for issuing, securing, collecting, and managing badges according to our corporate security guidelines, that includes the day-to-day operation needs and review and reporting any issue identified on the CCTV system

  • Communicate with janitorial, maintenance, vendors and related staff that are related to our day-to-day office operation day porters when service is needed.

  • Update WPS SOP, including commonly used phone lists.

  • Accept deliveries related to business operations and functions.

  • Work with first responders following local procedures already established by the ERT committee.

  • Assist associates with questions related to badging, directions, amenities and general inquiries, ticketing system

  • Manage necessary office supplies and equipment supplies to include inventory of welcome kits and any workplace office supplies.

  • Assist upcoming visitors to the CBS with logistic, ground transportation coordination and local information guidance.

  • Assist guests and visitors with printing from the guest printer.

  • Assist hosts with bringing guests into the building.

  • Perform coordinator level job duties for logistics, and workspace on an ad hoc basis when staffing shortages are necessary.

  • Perform research projects including primary and secondary research on a variety of workplace related topics.

  • Research content related to workplace operation needs including vendors, suppliers and related.

  • Review and approve room reservations for Workplace Solutions managed rooms.

  • Track workplace expenditures by cost type in MS Excel workbook and provide to the Workplace Manager, Senior Manager or Director for their use in monitoring and forecasting expenditures.

  • Manage and administer vehicle registration tracking documents. Includes registering vehicles and removal of vehicles from the SharePoint site.

  • Manage and administer reserved and restricted parking process, updating information and liaising with the AFZ.

  • Maintain reserved and restricted parking lists.

  • Maintain and promote positive and professional working relationships with associates, teammates and management.

  • Comply with policies, procedures, safety rules and regulations.

  • This role needs to be flexible in their work time approach, as demands on time in office can vary. The role is full time 5 days a week on site.

  • Update the list of employees located on the SharePoint CBS site.

  • Perform related duties as assigned and any other duties as required by the WPS team.

Education:

  • Requires broad training in fields such as business administration, accountancy, sales, marketing, computer sciences, or similar vocations generally obtained through completion of a two-year associate degree program.

Work Experience:

  • Minium of two years of experience in Facility management.

Skills and Knowledge Required:

  • Must have customer focus and an outstanding customer service mindset.

  • Must be able to multi-task and prioritize, tolerate stress, and work under pressure.

  • Must be able to problem-solve with the customers’ best interest in mind.

  • Must have elevated written and verbal communication skills, be able to listen and be detail oriented.

  • Must have strong interpersonal skills and ability to make customers feel welcome by utilizing a personable approach to service and maintaining a positive attitude.

  • Must be able to handle emotional, confrontational people in a calm and professional manner and never lose composure.

  • Knowledge of how to use a multi-line phone system.

  • Working knowledge of Microsoft Office Suite, MS Teams and SharePoint is required.
