Procurement & Facilities Executive (3–4 Years Experience)

Job Summary
We are looking for a proactive and detail-oriented Procurement & Facilities Executive to support procurement operations while assisting with day-to-day facilities and administrative activities. The role will primarily focus on procurement (70%) and facilities management (30%), ensuring smooth business operations, cost optimization, vendor management, and workplace support.
Key Responsibilities
Procurement (70%)
Manage end-to-end procurement activities, including sourcing, vendor evaluation, negotiations, and purchase order processing.
Obtain and analyze quotations to ensure cost-effective purchasing decisions.
Coordinate with internal stakeholders to understand procurement requirements and timelines.
Develop and maintain strong relationships with vendors and service providers.
Negotiate pricing, payment terms, and service-level agreements to achieve cost savings.
Track procurement requests and ensure timely delivery of goods and services.
Maintain procurement records, contracts, purchase orders, and vendor documentation.
Support vendor onboarding, contract renewals, and supplier performance evaluations.
Ensure compliance with procurement policies, approval workflows, and audit requirements.
Collaborate with Finance, Legal, IT, HR, and Business teams on procurement-related activities.
Facilities & Administration (30%)
Support day-to-day office administration and facilities operations.
Coordinate with facility management vendors for housekeeping, security, cafeteria, transport, and maintenance services.
Monitor office infrastructure and ensure timely resolution of facility-related issues.
Assist in workspace planning, seating arrangements, employee movements, and office setup activities.
Track facility-related expenses and support budget management.
Coordinate preventive and corrective maintenance activities.
Support employee engagement activities, office events, and townhall logistics as required.
Ensure workplace compliance with health, safety, and company standards.
Maintain facility-related documentation, asset records, and vendor contracts.
Required Qualifications
Bachelor’s degree in business administration, Commerce, Supply Chain Management, or a related field.
3–4 years of experience in Procurement, Supply Chain, Administration, or Facilities Management.
Experience in vendor management, contract negotiations, and procurement operations.
Exposure to office administration and facilities management activities is preferred.
Strong analytical, negotiation, and stakeholder management skills.
Proficiency in Microsoft Excel, PowerPoint, and procurement systems.
Ability to manage multiple priorities in a fast-paced environment.
Preferred Skills
Experience in IT and Non-IT procurement.
Knowledge of facilities operations and workplace management.
Strong communication and interpersonal skills.
Cost optimization and vendor negotiation experience.
Ability to work independently and drive operational excellence.
