Senior Executive Assistant to the CEO
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Executive Assistant to the CEO based in Brazil.
This is a high-trust, high-impact executive support role designed for someone who goes far beyond traditional administrative assistance. You will work directly with a fast-moving CEO in a dynamic digital marketing environment, bringing structure, clarity, and execution discipline to an evolving set of priorities. The role blends strategic coordination, operational follow-through, and executive-level support, ensuring that key decisions, projects, and communications are organized and moving forward. You will act as a central hub for information flow, helping translate ideas into actionable plans while protecting the CEO’s focus and time. This position requires strong judgment, proactive thinking, and the ability to thrive in ambiguity within a fully remote, high-growth setting.
Accountabilities
- Manage the CEO’s calendar, inbox, meetings, and priorities, ensuring efficient time allocation and that critical actions and follow-ups are never missed.
- Capture, structure, and track action items, commitments, and open loops, turning unstructured inputs into clear, executable next steps.
- Build and maintain simple but effective operational systems such as trackers, briefs, dashboards, and decision logs to support executive clarity.
- Coordinate and follow up with internal teams, vendors, and external stakeholders to ensure alignment and timely execution of commitments.
- Lead or support strategic initiatives and special projects, driving them from planning through completion with minimal supervision.
- Prepare concise summaries, meeting notes, and decision briefs to enable faster and more informed executive decision-making.
- Protect executive focus by prioritizing requests, escalating issues appropriately, and confidently managing up when needed.

Requirements
This role requires at least 6 years of experience in executive support, strategic operations, project management, or Chief of Staff–type functions supporting senior leaders such as CEOs or founders. The ideal candidate is highly structured and capable of creating systems from scratch in fast-changing environments. Strong written communication and synthesis skills are essential, along with the ability to translate complex or unstructured inputs into clear, actionable plans. You should be comfortable managing multiple stakeholders, tracking cross-functional projects, and ensuring consistent follow-through without close supervision. High discretion, professionalism, and trustworthiness are critical given the sensitivity of information handled. Experience in remote or distributed teams is important, as is confidence working with tools such as Google Workspace, Slack, Notion, ClickUp, Airtable, or similar platforms. Strong judgment, independence, and the ability to respectfully challenge and support senior leadership are key to success in this role.
