Business Operations & Workplace Coordinator

This is a full-time, on-site position based in our Washington, DC office. This role is expected to work from the office five days per week.

We’re looking for a Business Operations & Workplace Coordinator that plays a critical operational support role, ensuring the smooth daily function of our office while coordinating events and logistics for staff and several Boards of Directors. This role anchors the in-office presence, enabling efficiency, continuity, and a strong employee experience. This is not a role defined by routine task completion. Success requires sound judgment, proactive problem solving, and the ability to translate a wide range of operational, legal, and organizational needs into dependable day-to-day execution. You will collaborate closely with partners across HR, IT, Legal, Finance, and senior leadership to keep the office running well and support the processes that keep the business moving.

You see supporting Legal, Finance, and executive workflows as core to your role, not as administrative overhead. You understand that accuracy and follow-through in your work create trust and reduce risk across the organization.

Responsibilities

  • Serve as the primary point of contact for in-office workplace operations, including facilities issues, maintenance coordination, supply ordering, and space management.
  • Own the office environment, ensuring it is organized, stocked, and consistently ready for daily operations and special events, reflecting the company’s culture.
  • Support legal entity documentation and corporate records management through accurate filing and administrative coordination, with a clear path toward taking a leading role in this area over time.
  • Manage executive signature coordination and workflow tracking, ensuring documents are routed, signed, notarized, and mailed accurately and on time.
  • Lead the logistics of office event planning and execution for cross-team meetings, all-hands gatherings, Board visits, and internal events.
  • Maintain systems for tracking corporate processes, approvals, contracts, and operational tasks, keeping information current and accessible.
  • Partner with HR and IT on employee onboarding, desk setup, access management, and ongoing workplace experience improvements.
  • Assist the Legal team with corporate filings and the Treasury team with check deposits, as needed.
  • Manage inbound physical mail, disseminating copies to relevant departments and evaluating future efficiencies with AI tools or third-party services.
  • Continuously look for additional tasks and processes to take on as you build institutional knowledge and trust.
  • Minimum Qualifications

  • 1-4 years of experience in office management, workplace operations, executive support, or a closely related administrative role.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously without losing accuracy or follow-through.
  • Excellent written and verbal communication skills, with a professional and service-oriented manner with all levels of the organization, including Board members and senior executives.
  • Comfort navigating multiple systems and tools to track workflows, manage approvals, and maintain records.
  • Demonstrated ability to handle sensitive information including corporate filings, executive correspondence, and legal documents with discretion and care.
  • A track record of proactively identifying problems and surfacing them with context and suggested solutions.
  • Preferred Qualifications

  • DC Notary commission, or a willingness to obtain such commission.
  • Experience supporting Board of Directors logistics, governance processes, or executive-level stakeholders.
  • Familiarity with corporate records management, legal entity documentation, or regulatory filings.
  • Experience using or evaluating AI tools to improve operational workflows.
  • Background in a fast-paced, growth-stage company where priorities shift and self-direction is expected.
