Office Manager - Working Student
What you'll be doing:
Office Operations & Hospitality

Workspace Management: Act as the main point of contact for the Berlin office, ensuring the workspace remains professional, organized, welcoming, and tidy at all times.

Inventory & Supplies: Proactively manage and restock office inventory, including kitchen supplies, snacks, beverages, and stationery.

Vendor Relations: Liaise and build positive relationships with external service providers, including cleaning staff, couriers, building management, and suppliers.

Facilities Maintenance: Oversee the functionality of office equipment (printers, coffee machines, meeting room tech) and promptly coordinate maintenance or repairs when needed.

Health & Safety: Assist in maintaining basic workplace health, safety, and security standards, ensuring a safe environment for all employees.

Visitor Management: Warmly welcome guests, candidates, and visiting international colleagues, ensuring they have an exceptional on-site experience.

Event Coordination: Take a lead role in bringing our team together by planning and organizing weekly team lunches, office celebrations, seasonal parties, and cultural events.

Community Building: Act as a culture champion, brainstorming new ideas to make the Berlin office an inspiring and fun place to work.

Access Control: Coordinate the logistics for office access, managing key cards, fobs, and desk allocations for new starters, guests, and departing employees.

Financial Admin: Assist with basic office finances by organizing and processing office-related invoices, receipts, and maintaining simple trackers for monthly office expenses.

What you'll need to have:
Current Student Status: You are currently enrolled in a Bachelor’s or Master’s program at a university in Berlin/Brandenburg, with at least 1 year left of studies.
The Right Attitude: You are naturally organized, detail-oriented, and possess a "no task too small" mentality. You love solving problems and helping others.
Communication Skills: Fluency in English (our company language) and a strong command of German (essential for communicating with local suppliers, landlords, and German administrative bodies).
Tech Savvy: Comfortable using standard workplace tools (e.g., MS Office/Google Workspace, Slack).
Availability: Ability to work on-site in our Berlin office across 3 days a week, with flexibility during exam periods.
