This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Lease Administrator, Rent Lead based in Canada.
This role sits at the center of global lease administration operations, overseeing complex commercial real estate portfolios with a strong focus on rent management, reporting, and compliance. You will act as the primary client lead for medium to large, multi-region accounts, ensuring seamless service delivery across distributed teams. The position blends financial oversight, lease accounting, and client relationship management in a fast-paced, highly structured environment. You will drive governance, reporting cadence, and operational consistency while ensuring contractual and regulatory compliance. This is a highly collaborative role working across global stakeholders, vendors, and internal specialists. It offers the opportunity to influence portfolio performance, strengthen client satisfaction, and optimize lease administration processes at scale.
Accountabilities:
- Manage client relationships as the primary point of contact for global lease administration and rent-related matters
- Oversee lease abstraction, rent schedules, payment tracking, and financial reporting across large portfolios
- Ensure compliance with lease agreements, accounting standards (ASC 842 / IFRS 16), and internal policies
- Review, validate, and approve monthly billing, vendor invoices, and pass-through expenses
- Coordinate and lead reporting cycles, portfolio reviews, and client governance meetings
- Identify risks, manage escalations, and implement mitigation strategies across accounts
- Monitor lease milestones such as renewals, expirations, and critical contractual dates
- Supervise global team outputs, ensuring consistency, accuracy, and adherence to client standards
- Support audits, reconciliations, and resolution of discrepancies in rent or ledger data
- Contribute to onboarding, process documentation, and continuous improvement initiatives
Requirements
- 5+ years of experience in commercial real estate lease administration, property accounting, or portfolio management
- Strong knowledge of lease accounting standards including ASC 842 and IFRS 16
- Experience managing large, multi-region portfolios with high lease volumes and complex rent structures
- Proficiency with lease management systems and tools (e.g., Visual Lease, ProLease, WorkTrac or similar)
- Strong financial acumen, including reconciliation, variance analysis, and rent payment validation
- Excellent communication and client-facing skills with the ability to manage senior stakeholders
- Strong organizational skills with the ability to handle multiple priorities in a remote environment
- Advanced proficiency in Microsoft Excel and standard business reporting tools
- Bachelor’s degree in Business, Accounting, Real Estate, or related field preferred
- Ability to work independently while coordinating effectively with global teams
