Subcontract Administrator

We are seeking a detail-oriented Subcontract Administrator to support the full lifecycle of subcontract management within a dynamic and fast-paced environment. In this role, you will play a key part in ensuring procurement activities, subcontract agreements, and vendor relationships are managed efficiently and in compliance with contractual requirements. You will collaborate closely with internal stakeholders and external partners to support project success, negotiate favorable terms, and maintain accurate documentation throughout the subcontract process. This position offers the opportunity to work on complex projects, contribute to operational excellence, and develop expertise in federal and commercial contracting practices. Accountabilities:

  • Administer subcontracts throughout their lifecycle, ensuring compliance with contractual obligations, company policies, and project requirements.
  • Prepare, issue, and manage Requests for Proposal (RFPs), coordinating with internal teams to gather requirements and ensure complete and accurate documentation.
  • Evaluate subcontractor proposals, analyze pricing and terms, and support supplier selection processes.
  • Negotiate subcontract terms, conditions, pricing structures, and schedules within delegated procurement authority.
  • Draft, process, and maintain subcontract agreements, modifications, amendments, and required contractual flow-down provisions.
  • Monitor subcontract performance and maintain comprehensive records, reports, and correspondence to support contract administration activities.
  • Coordinate subcontract closeout activities, ensuring all deliverables, documentation, and contractual obligations have been fulfilled.
  • Build and maintain effective working relationships with subcontractors, vendors, and internal stakeholders to support successful project execution.
  • Requirements

    • Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field.
    • Minimum of 3 years of experience in procurement, subcontract administration, contract management, or a related discipline.
    • Knowledge of subcontracting practices within engineering, construction, infrastructure, or government contracting environments.
    • Experience reviewing, negotiating, and administering subcontract agreements and procurement documentation.
    • Understanding of various contract types, including Firm Fixed Price (FFP), Time & Materials (T&M), and Cost-Reimbursable agreements.
    • Familiarity with Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and related government contracting requirements is preferred.
    • Strong negotiation, relationship management, and stakeholder engagement skills.
    • Proficiency with Microsoft Office applications and procurement, ERP, or contract management systems.
    • Excellent written and verbal communication skills with strong organizational and analytical abilities.
    • High attention to detail, problem-solving capabilities, and the ability to manage multiple priorities effectively.
    • Must be authorized to work in the United States.
