This role is a senior-level administrative position that plays a key part in ensuring smooth daily operations within a complex healthcare environment.
You will provide high-level executive and departmental support, managing sensitive information, coordinating schedules, and facilitating efficient communication across teams.
The position requires strong organizational skills and the ability to balance multiple priorities while maintaining accuracy and discretion in all administrative tasks.
You will also support financial and operational tracking, helping prepare reports, spreadsheets, and presentations that inform leadership decision-making.

Accountabilities:

  • Provide advanced administrative support to departmental leadership, ensuring smooth daily operations and efficient coordination of schedules, meetings, and travel arrangements.
  • Prepare, edit, and manage documents, presentations, memos, and reports while ensuring accuracy and confidentiality of sensitive information.
  • Track, organize, and report on financial and operational data, including budget monitoring and spreadsheet management.
  • Coordinate meetings and special projects, including agenda preparation, documentation, and follow-up on action items.
  • Interpret and apply departmental policies and procedures to support administrative decision-making and workflow consistency.
  • Manage incoming administrative requests and communications, ensuring timely resolution and appropriate escalation when necessary.
  • Support continuous improvement of office processes and contribute to the overall efficiency of departmental operations.
  • Requirements:

    • Minimum of 5 years of progressive experience as an administrative assistant or in a senior-level secretarial role.
    • Completion of at least two years of college education or a vocational secretarial program; associate or bachelor’s degree preferred.
    • Prior experience in a healthcare or complex organizational environment is highly desirable.
    • Strong organizational and multitasking abilities with exceptional attention to detail.
    • Advanced proficiency in Microsoft Office tools, particularly Excel, Word, and PowerPoint.
    • Excellent written and verbal communication skills with the ability to handle sensitive information with discretion.
    • Ability to work independently, prioritize tasks effectively, and meet tight deadlines in a fast-paced environment.
