Timesheet and Systems Administrator

Davies · Viman Nagar – Pune

Timesheet and Systems Administrator is responsible for managing employee timesheets, ensuring accurate tracking of work hours, and supporting project administration. This role involves collecting, reviewing, and processing timesheet data to ensure compliance with company policies and project timelines. Assist in coordinating project schedules, monitoring task progress, and generating reports to track project performance and resource allocation. Strong organizational, communication, and data management skills are essential, as the role requires close collaboration with project managers, team members, and finance departments to maintain smooth operations and accurate project reporting.
  • Timesheet Management:
  • Collecting, reviewing, and processing timesheets across all of Davies Consulting and Technology.
  • Ensuring weekly timesheets are submitted and approved on time.
  • Verifying recorded hours/days against project budgets and tasks.
  • Coordinating with employees, contractors, clients and project leads to resolve discrepancies on a weekly basis.
  • Preparing reports for key stakeholders.
  • Supporting external contractors and clients with system usage.
  • Project Administration:
  • Supporting project leads with D365 – Finance and Operations (FinOps) project configuration.
  • Responsible for project creation and maintenance in D365 FinOps.
  • Maintaining project documentation, including Statements of Work’s (SOW’s)
  • Assisting in resource allocation and monitoring resource usage across projects.
  • Tracking project budgets and expenses to ensure alignment with forecasts.
  • Updating project management module in FinOps with relevant data on timelines, tasks, and milestones.
  • Liaison Between Teams:
  • Coordinating between FP&A, Financial Control, HR, and practice teams and peers to ensure proper alignment of timesheet data and billing processes.
  • Communicating project updates and timelines to stakeholders.
  • Compliance and Reporting:
  • Ensuring timesheet data complies with audit controls and company policies.
  • Generating reports on project performance metrics, timesheet submission and approval statistics, escalating concerns as required, resource utilization, and time tracking for senior management.
  • 3-5 years’ experience
  • This role is vital for ensuring smooth operations in project-driven organizations, particularly where tracking employee time and resource usage directly affects billing, payroll, and project profitability.
  • Becoming an expert on key systems such as D365 FinOps and RSM InTime. Excel knowledge would be an advantage.
