Job Description Summary:
The UKG Specialist provides hands-on operational support for UKG Pro Workforce Management (WFM), including timekeeping and scheduling processes, , system utilization, and end-user assistance. This role supports daily workforce management operations, helps ensure data accuracy, and assists leaders and associates with issue resolution and system use. The Specialist collaborates with HR, Payroll, and IT to support system functionality, maintain compliance with workforce policies, and promote consistent and effective use of workforce management tools across the organization.Responsibilities And Duties:
Timekeeping & Scheduling Functional SupportAssist with maintenance and review of pay codes, accruals, profiles, and work rules to support proper system functionality.
Troubleshoot basic system issues in partnership with payroll, HR and IT.
System Configuration & Maintenance
Perform routine audits to UKG configurations, including pay codes, skill codes, scheduling profiles, and roles.
Troubleshoot system issues and escalate technical concerns to IT as appropriate.
Ensure demographic data validation and review/resolve errors.
Participate in testing and validation activities for system updates and enhancements.
Compliance & Governance
Ensure adherence to labor laws, organizational policies, and internal governance standards.
Support audit requirements related to timekeeping, scheduling, and system access.
Access, Security & Role Management
Maintain and troubleshoot role-based access for timekeepers, schedulers, and managers, including:Business Objects (BO)
Scheduling Administrator (SA)
Payroll
Exception Manager
Process role-access requests and ensure appropriate security controls are maintained.
End-User Support, Training & Documentation
Serve as a frontline resource for timekeeping and scheduling questions.
Provide hands-on support and guidance to managers, schedulers, and timekeepers.
Support timekeeping and scheduling training and ongoing education as needed.
Create, update, and maintain job aids, quick reference guides, and training materials.
Support all new users with functional adoption (M&A, New Units, etc.).
Collaboration & Continuous Improvement
Partner with Workforce Management, Payroll, HR Shared Services, Compensation, and IT teams.
Support system enhancements, integrations, and optimization initiatives.
Contribute to process improvement efforts to enhance efficiency and user experience.

SPECIALIZED KNOWLEDGE
- Experience with UKG configuration, troubleshooting, and system support.
- Proficiency with reporting tools, Hyperfinds, and Excel.
- Familiarity with healthcare payroll and workforce management environments.
- Experience with workforce system integrations (e.g., EPIC interfaces).
- Strong customer service, communication, and problem-solving skills.
- Ability to work collaboratively across HR, Payroll, and IT teams.
MINIMUM QUALIFICATIONS
Associate’s or Bachelor’s degree in HR, Business, or a related field. Or applicable cumulative job specific experience required
1–3 years of experience supporting payroll or workforce management systems (UKG/Kronos preferred).
Working knowledge of timekeeping, payroll processes, and labor compliance.
Strong attention to detail with the ability to manage multiple priorities effectively.
Effective communication with technical and non-technical stakeholders
