What the role is:
The Recruiting Coordinator at GovTech serves as the operational backbone of the Talent Acquisition team, bridging the gap between our high-growth technology needs and rigorous interviewing standards. This role is not merely administrative; it is a critical touchpoint for candidates navigating the complexities of a fast moving tech organization. The coordinator ensures that the hiring process remains efficient and transparent, all while maintaining a "candidate-first" philosophy that is essential in the competitive technology market. This will initially start off as a 12-month contract.
What you'll be working on:
The primary responsibility of the Recruiting Coordinator is to manage the end-to-end candidate journey. This involves high-volume interview scheduling across a diverse stakeholder group and platforms, requiring a mastery of calendar management and logistical coordination. Beyond scheduling, the coordinator acts as a brand ambassador, providing candidates with clear expectations regarding the unique timelines and requirements of GovTech roles.
Interview Coordination & Scheduling
- Manage end-to-end scheduling of high volumes of interviews across multiple business units and hiring teams.
- Coordinate interview logistics for virtual, in-person, panel, and assessment-based interviews.
- Serve as the primary point of contact for candidates, recruiters, hiring managers, and interviewers throughout the scheduling process.
- Ensure a seamless and positive candidate experience by maintaining clear and timely communication.
- Proactively identify and resolve scheduling conflicts, last-minute changes, and resource constraints.
Interview Resource Allocation
- Manage interviewer capacity and availability across complex interviewer pools.
- Optimize interviewer assignments based on skills, panel requirements, workload balancing, and hiring priorities.
- Partner with recruiting teams and hiring managers to ensure interview panels are appropriately staffed and calibrated.
- Monitor interviewer utilization and recommend process improvements to improve efficiency and reduce scheduling bottlenecks.
- Maintain accurate interviewer rosters, scheduling guidelines, and allocation frameworks.
Recruitment Operations & Reporting
- Track interview scheduling metrics and operational performance indicators.
- Prepare regular reports and dashboards for recruiters, hiring managers, and leadership teams.
- Analyze scheduling trends, interviewer utilization, candidate throughput, and operational efficiency.
- Ensure data accuracy and integrity within recruitment systems and reporting tools.
- Support workforce planning and recruitment forecasting through scheduling and pipeline data insights.
Process Improvement
- Identify opportunities to streamline scheduling workflows and improve recruitment operations.
- Develop and maintain standard operating procedures (SOPs) and documentation.
- Partner with recruiters and stakeholders to implement scalable scheduling and coordination practices.
- Support projects related to recruitment technology, automation, and operational excellence.
What we are looking for:
- Candidates for this position should ideally possess a Bachelor’s degree in Human Resources, Business Administration, or a related field.
- A minimum of one to three years of experience in a fast-paced administrative or recruiting role is required.
- Proficiency in modern productivity suites (Google Workspace or Microsoft 365) and a demonstrated ability to manage complex schedules are non-negotiable.
- Advantageous to have experience in navigating and managing modern Applicant Tracking Systems
The ideal candidate will possess:
- Diploma or Bachelor's degree in Human Resources, Business Administration, Operations, or a related field.
- 5+ years of experience in recruiting coordination, talent acquisition operations, workforce scheduling, or a similar operational role.
- Demonstrated experience managing high-volume interview scheduling across multiple stakeholders.
- Experience coordinating resources within complex scheduling environments.
- Strong proficiency with Applicant Tracking Systems (ATS), calendar management platforms, and productivity tools.
- Advanced proficiency in Microsoft Excel and reporting tools.
- Exceptional organizational and time-management skills.
- Strong attention to detail and commitment to data accuracy.
- Ability to manage multiple priorities and deadlines simultaneously.
