This role sits at the heart of a fast-paced healthcare staffing operation, ensuring that qualified therapists are effectively matched with clients based on needs, availability, and location. You will play a key part in supporting service delivery by coordinating schedules, managing placements, and ensuring continuity of care. Beyond scheduling, the role blends recruitment support, relationship management, and operational coordination in a highly dynamic environment. You will work closely with clinicians, families, and internal teams to ensure smooth communication and timely staffing decisions. This position is ideal for someone highly organized, people-oriented, and comfortable managing multiple priorities at once. Operating in a remote setup aligned with US working hours, the role offers exposure to a structured yet fast-moving operational model where precision and responsiveness are essential.

Accountabilities

In this role, you will ensure effective staffing coordination and talent support across clinical operations while maintaining strong communication between all stakeholders. You will be responsible for aligning therapist capacity with client needs and supporting recruitment and retention efforts in a high-volume environment.

  • Coordinate therapist-to-client matching based on availability, geography, and service requirements
  • Manage therapist schedules, placements, and ongoing staffing allocations
  • Support recruitment processes including sourcing, candidate coordination, and interview logistics
  • Maintain active communication with therapists, families, and internal operational teams
  • Monitor staffing demand and open cases to ensure timely fulfillment of service needs
  • Support clinician engagement and retention initiatives through ongoing coordination
  • Maintain accurate staffing records, documentation, and reporting dashboards
  • Track key staffing metrics and placement outcomes to support operational decision-making
  • Collaborate with case management and operations teams to ensure seamless service delivery
  • Requirements

    The ideal candidate brings experience in staffing, recruitment, or operational coordination, ideally within healthcare or service-driven environments. You are highly organized, detail-oriented, and able to manage competing priorities in a fast-paced setting.

    • Bachelor’s degree preferred
    • 2–4+ years of experience in staffing coordination, recruitment, talent acquisition, scheduling, or operations support
    • Experience in healthcare, ABA services, behavioral health, or similar environments is an advantage
    • Strong organizational and time-management skills with the ability to handle high-volume workflows
    • Excellent communication and relationship-building abilities across diverse stakeholders
    • Proven ability to multitask and prioritize effectively under tight deadlines
    • Strong attention to detail and commitment to accuracy in documentation and tracking
    • Problem-solving mindset with strong coordination capabilities
    • Familiarity with CRM, ATS, Microsoft Office, and Google Workspace tools
    • Ability to work independently in a remote environment with reliability and consistency
    • Spanish language skills are a plus
