Role Objective:

Are you a highly organised administrator with a passion for live music, looking for your way into the live entertainment industry? This Immigration and Logistics Coordinator role in Auckland could be the perfect next step.

 

This full-time, permanent role will report to the Head of Production and Logistics NZ where you'll work closely with the wider Production and Logistics team across New Zealand and Australia, sitting at the heart of how international tours come to life on the ground.

 

From managing the end-to-end immigration process for incoming artist and crew parties, to coordinating on-ground logistics and supporting Promoter Representatives, this role is equal parts precision and hustle. You'll be the go-to person for keeping tours moving smoothly and compliantly in one of the world's most exciting live music markets.

What you’ll be doing: 

  • Immigration management: Own the end-to-end visa and immigration process for all personnel requiring clearance to enter New Zealand for Live Nation promotions and events.
  • Stakeholder relationships: Maintain strong, trusted relationships with immigration officials and stay across all regulatory developments and protocol changes.
  • Logistics coordination: Assist Promoter Representatives in booking on-ground logistics including hotels, flights and vehicles, and liaise with the travel agency to keep tours running smoothly.
  • Tour administration: Set up and maintain tour admin including Box folders, tracking documents, Master Tour skeletons and contractor deal memos.
  • Training and onboarding: Induct and train new Promoter Representatives on Live Nation policies and processes and coordinate ongoing yearly training sessions.
  • Industry awareness: Keep the team informed on changes in the travel industry that may impact touring operations.
  • Systems champion: Work within and actively champion internal systems and processes to ensure consistency and efficiency across the team.

 

What you’ll bring:

  • Relevant experience: Experience in a logistics, administration, or coordination role essential, exposure to the music or entertainment industry a bonus.
  • Exceptional attention to detail: A meticulous approach to managing complex, multi-layered processes where accuracy is non-negotiable.
  • Outstanding communication: A confident and clear communicator, both written and verbal, with a knack for building strong relationships across internal and external stakeholders.
  • Organisational excellence: Proven ability to juggle multiple projects and priorities in a fast-paced, ever-changing environment.
  • Discretion and integrity: Ability to handle sensitive and confidential information with professionalism and sound judgement.
  • Tech proficiency: Strong computer skills across Excel and Microsoft Office in a Mac-based environment.
  • Live music passion: A genuine love for the music industry and the drive to contribute to world-class touring experiences.
