POSITION OVERVIEW:
The Project Coordinator plays a key role in supporting Directors and Senior Directors reporting to the Customer Care Workstream Lead. This role provides comprehensive administrative and coordination support, ensuring smooth day-to-day operations, effective scheduling, and efficient execution of project-related and business activities.
MAJOR AREAS OF RESPONSIBILITY:
Calendar & Meeting Management
Scheduling Meetings: Coordinate and schedule appointments, meetings, and events based on leadership priorities.
Meeting Preparation: Prepare agendas, gather materials, and ensure all logistics are in place (e.g., room bookings, virtual meeting setup, technical support).
Time Management: Prioritize schedules to optimize time efficiency, minimize conflicts, and ensure appropriate allocation of time.
Conflict Resolution: Proactively identify and resolve scheduling conflicts, proposing suitable alternatives as needed.
Administrative & Document Support
Communication Filtering: Screen incoming communications and escalate critical items appropriately.
Document Preparation: Prepare, format, and edit documents, reports, presentations, and correspondence.
Data & Research Support: Conduct research and compile information to support decision-making and project activities.
Confidentiality: Handle sensitive information with a high level of discretion and professionalism.
Travel & Expense Coordination
Travel Arrangements: Coordinate travel logistics including flights, accommodation, and ground transportation in line with preferences and company policies.
Travel Documentation: Ensure all required travel documents and itineraries are prepared and accurate ahead of travel.
Expense Management: Track expenses, prepare reports, and support reimbursement processes in compliance with guidelines.
Travel Support: Provide support during travel, addressing last-minute changes or issues as they arise.
Event & Project Coordination
Support the planning and coordination of meetings, workshops, conferences, and team activities.
Assist in coordinating project-related activities, timelines, and deliverables across stakeholders.
REQUIRED EDUCATION/EXPERIENCE/SKILLS:
·High school diploma
·Preferred executive assistant experience in a professional office environment, large, global matrix environment preferred
·Proficient in Microsoft Office Suite with particular strength in Microsoft Word, Excel, PowerPoint and Outlook
·Intermediate administrative support knowledge
·Clear and professional verbal and written communication skills in English
·Basic business knowledge
·Demonstrable customer service excellence
·Autonomous decision-making, self-motivated, takes initiative
·Should have the ability to be resourceful and proactive in dealing with issues that may arise
·Strong attention to detail
·Proven experience in organizing, multitasking, prioritizing and working under pressure with the ability to work independently without regular direct supervision
