Administrative Support Specialist (Secret Cleared)
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administrative Support Specialist (Secret Cleared) based in the United States.
This role blends traditional administrative support with light creative and design responsibilities, offering a dynamic mix of coordination, communication, and visual content development. You will support daily operations by managing schedules, organizing documentation, and ensuring smooth administrative workflows across teams. In addition to core office support, you will contribute to the creation and enhancement of presentations, reports, and communications using design tools. The position requires strong attention to detail, adaptability, and the ability to balance multiple priorities in a structured environment. You will interact with internal and external stakeholders, ensuring professional communication and well-organized deliverables. This is a hybrid role that includes remote work with national travel requirements, making it ideal for someone who is flexible and proactive. A current Secret clearance or higher is required due to the nature of the work.
Accountabilities:
- Provide comprehensive administrative support including calendar management, meeting coordination, and travel arrangements.
- Prepare, format, and edit reports, presentations, correspondence, and other business documentation.
- Use Adobe Creative Suite or similar tools to design and enhance visual materials such as presentations, internal communications, and marketing assets.
- Maintain organized digital filing systems, records, and documentation for efficient access and compliance.
- Support the creation of visual content for proposals, reports, newsletters, and other communication materials.
- Assist with data entry, tracking, and reporting using Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Coordinate logistics for meetings, events, and team activities, ensuring smooth execution.
- Serve as a professional point of contact for internal and external stakeholders.
- Review and proofread documents for accuracy, consistency, formatting, and branding standards.
- Perform general office and administrative duties, including supply management and support for ongoing team projects.
- Active Secret clearance or higher (mandatory).
- Previous experience in administrative, executive support, or office coordination roles.
- Working knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop) or similar design tools.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Strong attention to detail and commitment to producing accurate, high-quality work.
- Ability to communicate professionally with internal and external stakeholders.
- Proactive, adaptable, and comfortable balancing administrative and creative responsibilities.
- Experience supporting document preparation, formatting, and presentation design is highly valued.
- Ability to handle sensitive information with discretion and professionalism.
- Competitive annual salary range: $40,000 – $43,000
