This is a hybrid position and involves regular performance of job responsibilities virtually as well as in-person at an assigned TU office location for a minimum of two days a week.
Role Overview And Core Responsibilities
oversee all aspects of event planning and execution for our clients. You will play a pivotal role in ensuring the seamless organization and management of various events, workshops, conferences and seminars aimed at fostering stronger relationships with our B2B clients
- Develop and implement an overall event strategy in alignment with the company’s business objective and client engagement goals.
- Facilitate collaboration among internal teams, clients, agencies, and vendors to establish event requirements, acting as a link between Senior executives and industry leaders throughout the process.
- Oversee the planning, budgeting, and execution of all events, including conferences, industry events, and client workshops, ensuring a high level of professionalism and client satisfaction.
- Cultivate and maintain strong relationships with key stakeholders, vendors, and partners to enhance the quality and impact of our events.
- Monitor and evaluate the success of each event, gathering feedback from participants, internal and external stakeholders to continuously improve future event planning and execution.
- Stay updated on industry trends and best practices in event management to incorporate innovative strategies and technologies into our event planning process.
- Manage and negotiate (if required) contracts with venues, suppliers, and other relevant service providers, ensuring cost-effectiveness and adherence to quality standards.
- Ensure compliance with legal and company policies, including health and safety regulations, insurance, during all event planning and execution phases.
- Organize logistics for all events including registration, lead generation, prepare and review guest lists, venue setup, presentations, security, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Collaborate with the marketing and sales teams to identify the creative and operational aspects that align with our brand messaging.
- Supervise client experiences from concept to post-event review, overseeing on-site preparations, production, and breakdown, and maintaining a high standard of service throughout all stages.
- Establish and maintain a comprehensive database of industry contacts, vendors, and venues.
Resolve any challenges that arise on event day and liaise with Business Heads to plan meetings, conferences, and events for stakeholders. - Keep track and review all invoices, paperwork and manage the payments cycles.
Required Knowledge And Experiences
· Bachelor’s degree in management, Marketing or a related field. Master's degree is a plus.
· Proven experience of minimum 6 years in managing events
· Strong leadership, coordination and team management skills with the ability to motivate and guide a diverse team of event professionals.
· Willing to travel as part of the job requirements.
· Excellent communication, negotiation, and interpersonal skills for fostering positive relationships with clients, stakeholders, and vendors.
· Solid understanding of event planning, budgeting, and logistics management, with a keen eye for detail and quality assurance.
· Ability to work under pressure and manage multiple projects simultaneously, demonstrating exceptional organizational and time management skills.
