Facilities Supply and Inventory Specialist

Housing & Food Services has an outstanding opportunity for a Facilities Supply and Inventory Specialist to join their team.

About this Opportunity

Reporting to Assistant Director for Facilities Services, the Facilities Supply and Inventory Specialist is responsible for providing program management-level oversight for the Facilities Services procurement, supply, and inventory program. Manage vendors for repair and replacement of Housing & Food Services building furnishings and equipment.

The salary information provided below is for a full-time position 100% FTE opportunity.

Key Responsibilities

Procurement and Inventory Program-60%

  • Develops and maintains procurement policies and procedures for HFS Facilities.
  • Manages vendors for repair and replacement of building furnishings including window coverings and signage.
  • Manages emergency kit vendor, ordering and delivery.
  • Coordinates MyChem inventory process.
  • Creates and maintains a usage plan and inventory program for all warehouse and building storage rooms.
  • Implements inventory practices for staff and unit to ensure all parts, supplies, tools, equipment, and standardized furniture are stocked at appropriate levels and all equipment is in working condition.
  • Coordinates shipping and receiving of goods, disposal of surplus property, and inventory. 
  • Creates Facilities Purchase Orders and collaborate with HFS Procurement Manager on modifications and maintenance of purchase orders for procurement compliance.
  • Implements the UW Sustainability Plan and Green Cleaning Policy for procurement area.
  • Travels efficiently across campus between West Campus housing/storage areas and North Campus storage locations, including the warehouse, at least weekly for supply order retrieval and placement.

Facilities and Department Operations-20%

  • Contributes to the Facilities Services & Planning budget creation process, accounting for cost increases and changes in sourcing.
  • Monitors spend activity and recommend alternative procurement activities to enhance cost savings.
  • Serves as interdepartmental liaison with campus partners or other agencies.  Serves on departmental and campus committees as assigned.
  • Performs other duties as assigned.

Leadership and Supervision- 20%

  • Initiates and directs program improvements.
  • Interview, hires, trains and develops procurement staff.
  • Supervises the work of direct report, ensuring appropriate productivity and quality.
  • Evaluates the work completed by direct report and provides constructive feedback to support success.
  • Ensures proper implementation of Department and University personnel, payroll, and safety policies and procedures.

This position manages one employee and student staff.

This position performs essential services and may be required to work during any period of declared suspended operation.

Required Qualifications

Minimum Qualifications

· A bachelor’s degree and three years of full-time experience in procurement or facilities management. 

· Experience supervising or directing the work of others. 

Additional Desired Qualifications

Experience that demonstrates:

  • Strong oral and written communications skills
  • Ability to interpret or administer contracts and/or manage the delivery of contracted services
  • Ability to develop and implement complex scheduling requirements
  • Ability to develop ideas and implement them through teamwork and collaboration
  • Familiarity with UW Housing & Food Services facilities, policies, and procedures
  • Experience utilizing Microsoft Office, computerized maintenance management systems, or, housing information management systems.
  • Knowledge of custodial and maintenance supplies and equipment.

Preferred Qualifications:

  • valid Driver's License.

Working Conditions

Regular Monday-Friday office hours with weekend and evening work schedule adjustments to address issues arising during peak periods and to participate in Department-wide events. Eligible for up to 2 days’ remote work a week.
