This role is a central operational support position designed to keep executive priorities, business functions, and cross-team workflows running smoothly and efficiently. You will work closely with senior leadership to ensure visibility across production, finance, and HR activities while maintaining strong communication and coordination across departments. The position requires someone highly organized, proactive, and comfortable operating in a fast-paced, remote-first environment. You will act as a key connector between operational teams, helping translate priorities into action and ensuring follow-through on critical initiatives. With exposure across multiple business functions, this role blends executive support with hands-on operational coordination. It is an opportunity to directly influence efficiency, structure, and execution across the organization.
Accountabilities:
In this role, you will provide high-level operational and administrative support to leadership while ensuring smooth coordination across HR, finance, and production workflows:
- Support the Vice President with daily executive operations, prioritization, scheduling, and administrative coordination across multiple business functions.
- Maintain visibility over key initiatives, track progress, and ensure follow-through across departments and operational streams.
- Coordinate HR-related activities including recruiting support, interview scheduling, onboarding documentation, and internal communications.
- Assist with accounting and financial coordination, including document organization, QuickBooks-related support, and reporting assistance.
- Support production and operations teams by managing schedules, identifying conflicts, and ensuring continuity across active projects.
- Manage executive email communications by prioritizing messages, flagging urgent matters, and ensuring timely responses.
- Facilitate cross-functional communication between leadership, HR, finance, and production teams to ensure alignment and clarity.
Requirements:
The ideal candidate brings strong executive support experience combined with operational coordination skills across multiple business areas, including HR and finance:
- Proven experience as an Executive Assistant or in a similar executive operations or administrative support role.
- Experience supporting leadership teams in remote or distributed environments.
- Exposure to HR coordination activities such as recruiting support, onboarding, and employee communications.
- Basic accounting or financial administration experience, ideally with tools such as QuickBooks.
- Strong organizational and multitasking skills with the ability to manage competing priorities effectively.
- Excellent written and verbal communication skills in English.
- High attention to detail, discretion, and professionalism when handling confidential information.
- Strong problem-solving mindset with the ability to work independently in a fast-paced environment.
- Familiarity with tools such as Google Workspace, operational reporting systems, and scheduling platforms.
